Guestline Rezlynx: Pick up rooms on a Group

You can add or pick up rooms on a Group booking, in a few simple steps.

Once you have created a Group in Rezlynx, you can perform a variety of actions - including:

and generating Group reports - all designed to help you manage your group bookings in the best way for your property and your team.

Once you have added rooms to the block, they will then be available in the Pick Up Rooms tab to add to your group in order to add guest information and allocate to a bedroom.

Pick Up rooms

To pick up rooms, follow the steps below:

  1. Navigate to your group and select the Pick-Up Rooms tab.

  2. Add guest information, in one of the following ways:

    • Import a Pick List: Scroll to the bottom of this article for steps on importing a pick list.

    • Enter each guest name individually: When clicking into the row underneath the title, forename or surname, 3 boxes will open up for you to add the guest name, if known.

    • Use group contact as free-type guest: Select the button, then click Refresh.

    • Use group contact as guest profile: Select the button, then click Refresh.

    • Link or Un Link guest profiles as required.

  3. To select reservations to be Picked Up, click each P/U box. To select all click the top P/U box.

  4. Once selections have been made, click Use New Reference to pick up the rooms.

    ⚠️ Important: When picking up additional rooms, you can choose from:

    • Add to Existing Reference to group all picked-up rooms under the original booking reference, such as BK000065/1, BK000065/2, and so on.

    • Use New Reference will group the next set of picked-up rooms under a new booking reference, such as BK000066/1, BK000066/2, and so on.

  5. Click Save. The picked up rooms will now show within Batch Changes tab.


Import a Pick List

To import a group Pick List, follow the steps below:

  1. Select Create Blank Pick List File.

  2. Select the columns you wish to add to the Pick List.

  3. Click Download. A CSV will be downloaded to your device.

  4. Open the file and fill in the guest information. The information input into the CSV file must match exactly to the order and format of the information in the Pick List tab.

  5. Once completed, save as a CSV file as no other format is permitted.

  6. Click Import a Pick List and select the file.

    ⚠️ Important: If an error is shown or the file fails to upload, please carefully check the CSV file for any differences between the CSV and the pick list, including room type orders and date formats.

    For example, the following example would not upload to the system due to the differences between the system pick list and the CSV as highlighted in red:

  7. Once the information has been uploaded, Link or Un Link guest profiles as required.

  8. Tick P/U to select reservations to be Picked Up, or select the top P/U box to select all. Once selections have been made, click Use New Reference to pick up the rooms. Picked Up rooms show within Batch Changes tab.

    ⚠️ Important: When picking up additional rooms after some have already been picked up, you can choose:

    • Add to Existing Reference to group all picked-up rooms under the original booking reference, such as BK000065/1, BK000065/2, and so on.

    • Use New Reference will group the next set of picked-up rooms under a new booking reference, such as BK000066/1, BK000066/2, and so on.

  9. Click Save.
