Guestline Rezlynx: Cancel a Group

You can cancel a Group booking, in a few simple steps.

📌 Note: Once a group has been cancelled, it cannot be reinstated.

Once you have created a Group in Rezlynx, you can perform a variety of actions - including: creating a mid-stay change, setting up a Group Series, adding release rules, holding rooms on a block, picking up rooms, configuring charge routing, adding a master account, changing Group dates, cancelling a Group, and generating Group reports - all designed to help you manage your group bookings in the best way for your property and your team.

Cancellation emails can be sent to the group booker or to guests if profiles have been linked that contain email addresses. Please note unless you have a pre-set cancellation template set up, Groups with rooms not picked up but held on the block tab will not appear on a cancellation email template. You can create the cancellation templates within Template Editor.

To cancel a Group

⚠️ Important: Once a group has been cancelled you are not able to reinstate it, you would need to create a new group.

To cancel a Group booking using the Group Reference, follow the steps below:

  1. Navigate to Guest Journey, then Groups, and select Cancel.

  2. Either:

    • Enter the Group Reference and click Cancel.

    • Or use the Search Parameters to find your group and click on the Group Reference.

  3. A notice will show on screen:

    • If the group contains picked-up reservations, click Continue to cancel the picked-up rooms and the group.

    • If the group has no picked-up reservations, click Yes to cancel the group.

  4. Cancellation of the group and the cancellation reference is shown in the top left of the screen. The group is now cancelled. Within the same screen, you can then either:

    • Send a cancellation email: Select Email and the Template, then click Execute. The next screen shows a summary of the cancellation emails sent, click Close to exit the screen.

      🤓 Tip: The email tick box will only show if the reservation had a profile with an email linked to the reservation.

    • Or click Continue to exit the page without sending any cancellation emails.
