Group bookings are recommended for bookings over 10 bedrooms that need to be managed as a Group. For fewer than 10 bookings, a multi-room booking can be made. Individual reservations cannot be added into a pre-existing group. If the room needs to be part of the group, a room would need to be added to the group and the individual reservation cancelled.
Create a Group
To create a Group booking, follow the steps below:
Navigate to Rezlynx, Guest Journey, Groups and then select Create.
Contact information is required for all Group bookings, click Link to search for or add the booker's profile.
🤓 Tip: Enter the contact's surname to check for previous bookings. Select an existing profile if available, or create a new one by choosing Add a New Profile.
Add the Company, Agent or Source as required.
In the Details section, select the Group Status.
🤓 Tip: When a status which affects availability is used, the column "Available for Pick Up" will change to "Yes". Status can be added and edited as required within Status Codes.
Click Update to launch the Rate Plan Search screen. Search for the required dates, number of nights and select the required rate plan for the Group.
🤓 Tip: You can add a Mid Stay Change to the Group only after saving the reservations if the nightly price is different for the Group.
Add notes for internal purposes into Group Notes and add a Description in the bottom left hand corner. If you do not want to use the Rezlynx default Group Code, then you can also insert your own reference code.
Select the Guarantee tab and select a Guarantee Type, and add any Ledger information if required. If you have a payment gateway, you can also add in a guarantee at this point if needed.
Select the Default Misc. tab to set the Market Source and Media Source Code. You can also add Notes in this section, which will be added to each room picked up or added to the Group.
Default upsells can be added at any stage prior to picking up rooms to ensure that chosen products are posted onto the reservations as they are picked up. Any upsells selected will be added to all rooms picked up in the group.
Click Save.
Once saved, a unique Group Reference is shown in the bottom left of the screen - depending on your site settings, this usually starts with GA.
