Guestline Rezlynx: Create a Group series

You can create a group series for regular groups, such as coach tours etc, which allows you to copy various elements of your current group into new groups, in a few simple steps.

Once you have created a Group in Rezlynx, you can perform a variety of actions - including: creating a mid-stay change, setting up a Group Series, adding release rules, holding rooms on a block, picking up rooms, configuring charge routing, adding a master account, changing Group dates, cancelling a Group, and generating Group reports - all designed to help you manage your group bookings in the best way for your property and your team.

If creating a group for a series of groups for regular groups, such as a coach tours etc. This functionality will allow you to copy various elements of your current group into new group dates (Up to 60 times).

⚠️ Important: Please note the following do not copy across with a group series: Rate Overides, Mid Stay Changes, and neither do Group Notes.

Create a Group series

To create a group series, follow the steps below:

  1. Within your group booking, select the 3 dot menu (...), then Group Series.

  2. Searching for a Group Series will show any groups copied already associated with your group. Click Create Group Series.

  3. Check the Group Details are correct. If they are not, then go back to your group to make changes.

  4. Complete the Date Series information as required, including:

    • Date Series: How far out will your copied groups go? Set the From and To dates to cover all copies of the group.

    • Weekly/Monthly: If the group is repeated on a weekly or monthly basis, defined by the day or week or month that the tour always stays on.

    • Create: Enter the number of non-dated copies you wish to create.

  5. Within Copy Options select which areas of the group you want to copy to the series.

    🤓 Tip: Selecting Create Grid will allow you to create up to 10 entries in a grid, with dates selected by you.

  6. Within Group Series Grid, you can free-type the name of the group, and set the arrival dates on each row. Make sure to check if the booking status affects availability as required.

  7. Once you have entered all of the information as required, click Save.

  8. Confirmation of the series creation is shown on screen with the new group reference. Note the reference number, then click OK to exit the screen.

To find the groups within the series, you can use the search bar at the top of the screen to search for the reference number, or by using the Group Scan report.
