Guestline Rezlynx: Add or Pick Up rooms in a Room Block

You can add rooms to a block and Pick Up the rooms on the Room Block in just a few simple steps.

Room blocks are usually created when you want to sell those rooms online. If you are not selling the rooms online, via the Distribution Hub, then you might like to create a Group instead.

Once you have created a Room Block in Rezlynx, you can perform a variety of actions, including:

Add Rooms to a Room Block

To search for your room block, navigate to Guest Journey, Room Blocks, then Search.

To add to a Room Block, follow the steps below:

  1. Within your Room Block, select the Blocks tab.

    🤓 Tip: Press Show Availability to view available rooms for the night selected. Pressing Hide Availability will remove the availability of the block screen.

  2. Click Add Combination. Select the Room Type from the drop-down menu. Enter the number of Adults, Children and Infants.

    🤓 Tip: Select Add Additional Pax to add different occupancy levels within the selected room.

  3. Click Apply to see the room types within the Blocks tab. Add as many room types as required.

  4. Enter the number of rooms you wish to block in the ‘R’ box/

    📌 Note: A = number of rooms of that type available

    B = number of rooms blocked of that type (as above)

    P = number of rooms picked up (at this point this will always show 0)

    R = number of rooms remaining to be picked up (at this point this will always show 0)

  5. Once you press Save the ‘A and B’ column will adjust.

To remove a combination, select the room type and press Remove.

Rooms added to the block

Once all rooms are added to the block tab, they appear in brackets on the Availability Planner.

When you are ready to proceed you can pick up the rooms, this can be done immediately or with a period of delay whilst gathering guest information etc.


Pick Up Rooms

Within your Room Block, select the Pick Up rooms tab.

🤓 Tip: To search for your room block, navigate to Guest Journey, Room Blocks, then Search.

  1. Press Refresh to see all rooms added to the Room Block.

  2. Add guest information, in one of the following ways:

    • Enter each guest name individually: When clicking into the row underneath the title, forename or surname, 3 boxes will open up for you to add the guest name, if known.

    • Use group contact as free-type guest: Select the button, then click Refresh.

    • Use group contact as guest profile: Select the button, then click Refresh.

  3. Link or Un Link guest profiles as required.

  4. To select reservations to be Picked Up, click each P/U box. To select all click the top P/U box.

    🤓 Tip: If the room is not available for pick up click on the Reasons link next to the P/U.

  5. Once selections have been made, click Use New Reference to pick up the rooms.

    ⚠️ Important: When picking up additional rooms, you can choose from:

    • Add to Existing Reference to group all picked-up rooms under the original booking reference.

    • Use New Reference will group the next set of picked-up rooms under a new booking reference.

  6. Click Save. The picked up rooms will now show within Batch Changes tab.
