What is Access Evo?

Access Evo is an integrated AI experience embedded across Access products. It combines industry know-how and your organisation’s own data, with intelligent alerts and AI-generative capabilities, allowing you to complete work at a truly remarkable speed.

Access Evo automates the day-to-day, and new AI-generative features help you take on new and bigger challenges, creating opportunities for your organisation and for you personally. With Access Evo, we can all become the very best version of ourselves at work.

Access Evo delivers AI within a tight 3-Tier Security Model so that your teams have the confidence to really put AI to work.

Access Evo is designed to give you a seamless experience across all your Access products with single sign-on. With AI-embedded, Evo helps you do more in the moment: automating tasks, intelligently prompting you, providing data in an instant, and helping you get things done right away. It’s not magic. It’s Evo.


Access Evo Data Security

All Access Evo interactions take place within a data-secure environment, ensuring that your organisation, your guests' and your employees' data is protected.

Access Evo delivers AI within a tight 3-Tier Security Model:

  • The first tier is Company Secure: Access Evo is delivered with our world-leading partners Microsoft OpenAI, but is hosted privately on a secure AI environment, walled off from prying eyes. Access Evo data is never shared externally.

  • Tier two is aligned with user permissions: Access Evo's data security model mirrors that of your organisation. So, the insights and answers that it offers will be based on each user's existing software permissions and controls. For example, only users with the Edit Reservations permission in Guestline Rezlynx PMS will see 48-hour arrival notifications in their Access Evo feed.

  • The final tier is around individual confidentiality: Everyone's use of our AI will remain private to them. No one else will be able to see what they have asked or the information they have received.


Single Sign-On

Access Evo enables users to sign in across all Access products with just one set of credentials. You will no longer need to remember multiple login details - just one username and password to access a wide range of Access solutions. Following the setup of Access Evo, you will be able to log in to Guestline Rezlynx PMS using the Access button, as shown below:


Key Access Evo components

Access Evo offers components to help you supercharge your business, including:

Access Button

  • The Access Evo button is conveniently located in the top-left corner of Guestline Rezlynx PMS, enabling users to utilise Access Evo without leaving the PMS.

Products

  • The Products button allows you to switch to another Access product quickly and easily.

Analytics

  • Access Evo Analytics provides group-level reporting dashboards, which can be filtered to show data for specific properties.

  • The pre-built dashboards include: Revenue, Rooms and Guests, and Manager’s Flash.

  • Should you have GuestPay, GuestStay or Guestline DBM, there are also pre-built dashboards for these products too.

  • You can build your own custom dashboards, pulling in data from other products too if required.

  • Data feeds directly from specific Guestline Rezlynx PMS reports.

Copilot

  • Your AI-powered assistant provides intelligent insights, answering queries, and suggesting actions based on the context.

  • Skills include Guestline Knowledge Base and Analytics.

  • Operates in a secure environment to ensure data protection.

Feed

  • Intelligent alerts and notifications to ensure you stay informed.

  • Detailed notifications to keep you informed, including reservation alerts.

  • Actionable notifications allow direct responses without opening Guestline Rezlynx PMS.

Mobile

An integrated mobile experience giving you access to key Access Evo features – like Copilot, Feed and more - on the move.

Is your data secure?

Yes, Access Evo delivers AI within a tight 3-Tier Security Model. Please see the section on data security in the article above.

How is Copilot powered?

We are working in partnership with Microsoft OpenAI.

Are there limits to the number of lookups I can complete with Copilot?

Yes, the standard license includes 400 messages per user per month. Add-on packs can be bought to increase this usage.

What is generative AI good at?

It is excellent at content creation, personalisation, simulation and modelling, problem solving and innovation, language translation and understanding. The possibilities are endless!

Using Copilot, will I always get the same answer to the same question?

Copilot might not answer the same question in the same way every time. It’s powered by a large language model that mimics the way the human brain works. It responds based on the context available to it at the time, so it might respond differently to the same or similar questions, just as a human brain would.

Are responses accurate in Generative AI?

While generative AI can produce accurate and relevant responses in many cases, it is essential to approach its outputs with a critical mindset. For the best results, combining generative AI insights with human judgment and external verification is advisable.

What data from Guestline Rezlynx PMS feeds into the Analytics section?

The following reports are pulling into Analytics from Guestline:

  • GuestStay & DBM Guest Facing reports

How far back will the Analytics data pull in from?

Data covers a maximum of 5 years or your full Guestline period if you joined more recently.
