Understand custom dashboards

What is Access Evo Analytics?

Analytics is a comprehensive data analysis platform integrated within Access Evo that provides users with customisable dashboards that display multiple data points together, as well as individual insights that show specific pieces of information sourced directly from Guestline Rezlynx PMS reports, including occupancy, revenue, bookings and guest services data.

What are custom dashboards?

Users can create Access Evo Analytics dashboards tailored specifically to their needs or combine data from Guestline Rezlynx PMS, GuestStay and other Access products into single dashboards.

Dashboards can be built from scratch by selecting specific Insights, providing flexibility beyond the pre-set dashboard templates.


Best practices for custom dashboards

Dashboard design:

  • Personal or shared dashboards can be created, so consider if you want to keep this as a personal dashboard or one to be shared with others in your organisation.

  • Focus on key metrics that are most relevant to your role or department.

  • Group-related insights consider both site-level and group-level insights if applicable.

  • Consider screen space and avoid overcrowding with too many insights.

  • Use clear naming conventions that describe the dashboard's purpose.

  • Tags can be used to help you search for the dashboard more easily.

Insight selection:

  • Choose insights that provide actionable information.

  • Balance high-level overview metrics with detailed operational data.

  • Consider both site-level and group-level insights if applicable.

  • Include complementary metrics that tell a complete story.

Maintenance and updates:

  • Regularly review your custom dashboards for continued relevance.

  • Remove or replace insights that are no longer useful.

  • Update dashboard names and descriptions as business needs change.

  • Archive dashboards that are no longer needed rather than letting them accumulate.


Create custom dashboards

Dashboards can be created and tailored specifically to your needs – so that you have all your most important insights in one place. You can also share the dashboards with other colleagues as required. When creating a dashboard, you can combine data from Guestline Rezlynx PMS, GuestStay and other Access products.

⚠️Important: Only administrators can create custom dashboards. If you do not have these permissions, then please contact your Admin user. Guestline support cannot grant this access for you.

To create a custom dashboard, follow the steps below:

  1. Within Access Evo navigate to Dashboards.

  2. Click+Add.

  3. Enter your dashboard name at the top of the screen.

  4. Drag and drop Insights from the left-hand menu into the main dashboard to create your dashboard.

  5. You can customise the dashboard in the following ways:

  6. Change layout - by dragging the insights or altering the size by selecting the bottom right corner of the insights box.

  7. Add more insights - by dragging them from the left-hand side.

  8. Add dashboard description - by selecting the Settings tab.

  9. Add tag - in the top right corner to help organise your dashboards.

  10. Delete an insight - by selecting the X in the top right.

  11. Once complete, clickSave in the top right of the screen.

Edit Custom Dashboards

Editing your own dashboards

To edit a personal dashboard, follow the steps below:

  1. Within Access Evo navigate to Dashboards.

  2. Locate the dashboard you want to edit.

  3. Click thePencil icon on the right to edit the dashboard.

  4. Modify the dashboard as required. You can modify the dashboard in the following ways:

    • Rename the dashboard in the top left of the screen.

    • Change the layout by dragging the insights or altering the size by selecting the bottom right corner of the insights box.

    • Add insights by dragging them from the left-hand side.

    • Add a dashboard description by selecting the Settings tab.

    • Delete an insight by selecting the X in the top right.

  5. When ready to proceed, click Save orSave and Close.

Editing a shared dashboard

When editing a share dashboard, here are some points to consider:

  • Editing capabilities for shared dashboards depend on the permissions granted by the dashboard owner.

  • Some shared dashboards may be read-only.

  • Contact the dashboard owner or administrator if you need editing access.


Delete custom dashboards

⚠️Important: Once a dashboard is deleted, it cannot be retrieved.

Delete your own dashboards

To delete your own dashboard, follow the steps below:

Within Access Evo navigate to Dashboards.

Locate the dashboard you want to delete.

Confirm deletion when prompted.

You may only be able to remove shared dashboards from your view, not delete them entirely.

Only the dashboard creator or administrators usually have full deletion rights.

Consider removing your access rather than attempting to delete if you no longer need the dashboard.

Although Administrators can see all dashboards, without them being shared, users can only view dashboards to which they have been granted permission to access, ensuring appropriate data visibility controls.

Important:

Only administrators can grant permissions to dashboards. If you do not have these permissions, then please contact your Admin user. Guestline support cannot grant this access for you.

To grant Users access to a dashboard, follow the steps below:

Within Access Evo navigate to Dashboards.

Find the dashboard you need to share, then click the sharing icon next to it.

Select the relevant Users to grant access.

ClickSave .

The user will be able to access the dashboard immediately.

Once shared, a number appears next to the shared icon showing how many people have access, as shown below:

When creating custom dashboards, consider whether they should be shared with other users.

Shared dashboards can provide consistent reporting across teams.

  • Manage sharing permissions to ensure appropriate data access.
