Guestline Evo: Delete an Access Evo user

You can deactivate or delete an Access Evo user in a few simple steps.

Required Conditions

Before deleting an Access user, ensure:

  • You have administrative access to the Access Evo organisation.

  • You understand the implications of removing the user from both Access Evo and Access Identity.

  • You have confirmed the user should no longer have access to any linked Access products.


Access Identity considerations

Evo uses Access Identity for single sign-on across all Access products. Removing a user from the organisation may affect their access to:

  • Any Access product linked to that organisation's login.

  • Single sign-on functionality across the platform.

  • Mobile app access.

  • Any other Access solutions they may use.


Remove a user

To remove a user from Access Evo, follow the steps below:

Within Guestline Rezlynx PMS, click the Access button.

  1. Select Products , then selectAccess Evo .

  2. Once the new tab has loaded, select theView and manage Members icon in the top right.

  3. Once the members tab has opened, find the user to be edited.

  4. Click the 3-dots next to the user, then select Manage Roles.

  5. You can select either:

    • Delete member : If the user has not yet accessed Evo, then you will be able to select this option.

    • Deactivate member : If the member has logged into Evo previously, then you will be able to select this option.

  6. Confirm your choice.

Once confirmed, the member will be removed from all current application roles, and removed from Access Evo.

The Guestline SSO will also be removed or deleted.


Remove Guestline Home access

To remove access to Guestline, follow the steps below:

  1. Log in toGuestline Home.

  2. SelectUsers from the left-hand menu, and search for the user's Guestline SSO account.

  3. You can either:

    • Select theBustbin icon to delete the SSO user.

    • Or Select thePencil icon to remove specific permissions.


Best practices for User management

Before deletion:

  • Confirm with the user or their manager that deletion is required.

  • Transfer ownership of any important custom dashboards.

  • Document any special permissions or configurations.

  • Consider suspending access temporarily before permanent deletion.

After deletion:

  • Verify the user cannot access any Access Evo features.

  • Update any documentation that references the removed user.

  • Review shared dashboards for any access issues.

  • Monitor for any unexpected access attempts.

  • The logs within Guestline Rezlynx PMS will continue to show any actions this user completed.


Troubleshooting for User deletion

User Still Has Access After Removal

  • Verify the user has been logged out of all sessions.

  • Check that removal was completed in both Access Evo and Guestline Home.

  • Allow time for changes to propagate across systems.

Cannot Remove User

  • Verify you have appropriate administrative permissions.

  • Check if the user is the only admin for the organisation.

  • Ensure there are no active sessions preventing removal.

  • Contact support if technical issues prevent deletion.

Accidental User Deletion

Stop the deletion process if still in progress.

  1. Re-invite the user if complete deletion has occurred.

Restore any custom dashboards or configurations if possible.

Removed user to be reinstated

You can reinstate a deleted Access Evo account by navigating to:

  1. Within Guestline Rezlynx PMS, click the Access Evo button.

  2. Select Products, then select Access Evo.

  3. Once the new tab has loaded, select the View and manage Members icon in the top right.

  4. Use the filters to find deleted users.

  5. Select the 3-dot menu on the user panel, then select Reinstate.

  6. Create the user within Guestline Home.
