What is Evo Analytics?

Analytics is a powerful data analysis platform within Access Evo, offering customisable dashboards that bring multiple data points together in one view. It delivers detailed insights sourced directly from Guestline Rezlynx PMS reports, including occupancy, revenue, and bookings. Analytics can also integrate data from other Access products and is accessible via web and mobile, giving you real-time business intelligence whether you're at your desk or on the go.


How to access Evo Analytics

To access Access Evo Analytics, follow the steps below:

  1. Click the Access Evo button in Guestline Rezlynx PMS, located in the top-left corner.

  2. Select Products.

  3. Select Analytics.

  4. A new tab will open, allowing you to explore Analytics.

Analytics can be accessed by both Users and Administrators with different capabilities.


Access to Access Evo Analytics

Both Users and Administrators have access to the core Analytics functionality:

  • Insights – show you one piece of information or data.

  • Dashboards – show you multiple pieces of data or insights all in one place.

Administrator Access

Administrators have more access within Analytics, with options including:

  • Copilot Data

  • Data Views

  • Insights – displays one piece of information or data.

  • Dashboards – display multiple pieces of data or insights all in one place.

  • Security


Dashboards

⚠️ Important:

Analytics will default to a group-level view of your properties, which you can change using the Filters.

Dashboards display multiple pieces of data, known as insights, all in one place.

Default dashboards specifically designed for Guestline customers include:

  • Manager's Flash: A high-level overview of key metrics per site designed to keep you informed at a glance.

  • GuestPay Transactions & Payments: A detailed count of transactions and payments processed through GuestPay, featuring information not currently available in the PMS.

  • Rooms and Guests:

  • Tracks arrivals, departures, and day lets on a group or per property basis.

  • Revenue: Shows booked, posted, sales and payments revenue all in one place.

  • DBM Dashboard : Detailed information about bookings made via the Direct Booking Manager.

  • GuestStay Conversions : Provides insights on how many check-ins and check-outs are done online or via the kiosk. This is available at either a site or group level.

  • Upsell Conversions : Breaks down revenue and further details of upsells added via GuestStay, available either by site or group.

Each dashboard includes filters that allows you to:

  • Adjust date ranges for historical or future analysis.

  • Refine results with specific criteria.

  • Apply multiple filters for detailed data segmentation.

Default dashboards

Access Evo Administratorshave automatic access to default dashboards. Administrators can grant access to new default dashboards created by Guestline in a few simple steps.

Create custom dashboards

You can create custom dashboards just for the data you want to see, or you can share them with your colleagues. You can create, edit and delete custom dashboards quickly and easily.


Share dashboards

Although Administrators can see all dashboards, users can only view dashboards that have been shared with them, ensuring appropriate data visibility controls.

⚠️Important: Only Administrators can share dashboards. If you do not have these permissions, then please contact your Admin user. Guestline support cannot grant this access for users.

To grant Users access to a dashboard, follow the steps below:

  1. Within Access Evo navigate to Dashboards.

  2. Find the dashboard you need to share, then click the sharing icon next to it.

  3. Select the relevant Users to grant access to.

  4. Click Save.

When the user next logs into the system, they will have access to the dashboard.


Insights

Each panel displayed with a dashboard is called an Insight. An insight displays a single piece of data or information, like the one highlighted below:

Hover over an insight to see additional information on when the data was last updated. If you're an Administrator, you'll also see options to download the insight and view the underlying data.

For a full list of all available insights, select Insights from the left-hand menu and each individual Insight is listed - as shown below:

The Insight section gives you a full list of all the Insights available, where you can:

  • Click to open individual insights for detailed analysis.

  • Apply filters to view specific insights.

  • Review access to insights.

  • Quick view of when insights have been modified.

  • Share the insights with specific users.

Updates and Refresh Schedule

Metrics update twice daily.

You can check the latest update time by hovering over the information icon on Insights, as shown below:

Data Sources

Data feeds directly into Access Evo Analytics from Guestline Rezlynx PMS reports, including:

  • Actual & Forecast report

  • Manager's Flash report

  • Direct Booking Manager Guest Facing report

  • GuestStay Guest Facing report


Analytics integration with other Access Evo features

Copilot Analytics skill

One of the key benefits of Evo Analytics is the Copilot feature, which allows you to ask questions directly about your properties’ data. You can pose detailed queries such as:

  • "What is my total occupancy for June 2025?"

  • "What is the total revenue for March 2021?"

Copilot analyses your queries and provides relevant responses using the data.

To ensure the best interaction with Copilot, use clear and simple language. Where Copilot does not return an expected result, you may need to rephrase or add additional context to your question.

Mobile Access

Analytics is available through the Access Evo mobile app, allowing you to:

  • View dashboards on mobile devices.

  • Access key insights while on the go.

  • Use Copilot to query Analytics data from your phone.
