Understanding multi-organisation access
Each Access Evo organisation is linked to a Hotel Group, allowing users with appropriate permissions to access multiple sites within that group. Users may have access to multiple organisations depending on their role and permissions.
Switching between organisations in Access Evo
You may need to switch organisations when:
You manage multiple hotel properties or groups.
You need to access data or features specific to a particular organisation.
How to switch organisations
📌Note: Switching between Access Evo organisations is not the same as switching between sites within Guestline Rezlynx PMS.
To switch between organisations in Access Evo, follow the steps below:
Click Access Evo button in the top left of Guestline Rezlynx PMS.
Select Products.
Select Access Evo icon.
Once the new tab has opened, click on the organisation dropdown menu at the top of the screen.
Select the desired Access Evo organisation name. The interface will refresh.
The Access Evo mobile app also supports organisation switching:
Use the same drop-down functionality available on desktop.
Ensure you select the correct organisation before viewing notifications.
How to switch between Guestline Rezlynx PMS sites
You can switch between sites within Guestline Rezlynx PMS in the following ways:
Select Access Evo button, then select Products, then click the arrow on the Guestline PMS icon to choose a property.
Select the arrow next to the property name in the top left of the screen, then choose a property.
Type the site name or Site ID code into the universal search bar at the top of the screen, then choose a property.
Select the App & Property icon in the top-right of the screen, then click the arrow in the Site Id box to select a property.
Best Practices for multi-organisation management
Always verify you're in the correct organisation before taking actions.
Pay attention to the organisation name displayed in the top left.
Double-check data context, especially for Analytics and reporting.
Be aware that custom dashboards are organisation-specific.
Remember that all data, notifications, and settings are organisation-specific.
Analytics data will only reflect the currently selected organisation.
Feed notifications are filtered by organisation.
Custom configurations don't carry over between organisations.
Security and Data Protection
Each organisation's data remains separate and secure.
Switching organisations doesn't provide access to unauthorised data.
All interactions maintain the same security standards as Guestline Rezlynx PMS.
Session Management
Organisation selection typically persists during your session.
You may need to reselect your preferred organisation after logging out and back in.
Mobile and desktop organisation selections are independent.
Troubleshooting
Cannot see expected organisations
Solution:
Verify you have been granted access to the missing organisation.
Contact your administrator to confirm your organisation assignments.
Check that you're using the correct Access Identity or Access Evo credentials.
Can access organisation, but cannot access Guestline Rezlynx PMS.
Check you have been granted access in Guestline SSO to the Rezlynx site.
Different features available in different organisations
Solution:
Understand that feature availability can vary by organisation.
Check with administrators about feature enablement for specific organisations.
Verify your permission levels are consistent across organisations.
Access denied for certain organisations
Solution:
Verify you should have access to the organisation in question
Contact your administrator to request access if appropriate
Check that the organisation hasn't been deactivated or changed
Ensure your account permissions haven't been modified
Data not updating after switch
Solution:
Wait a moment for data to refresh after switching organisations.
Manually refresh the browser page if data doesn't update.
Check that the organisation name has changed in the dropdown.
Try logging out and back in if issues persist.
Contact your administrator to ensure you have been granted access to the data you’re trying to view.
