The Planner is a powerful tool that helps you manage room reservations, maintenance tasks, and guest allocations efficiently. This guide explains its key features and how to make the most of them.
Access the Planner screen
Navigate to Guest Journey, then select Property, and then Planner.
Using the Planner
The Planner allows you to:
View rooms booked on a specific day.
Create reservations and maintenance tasks.
Allocate reservations directly on the grid.
Planner layout and filters
When you open the Planner, you’ll see a grid displaying all bedrooms in your property.
At the top, there are filters to customise your view:
Start Date & Nights: Enter the start date and number of nights to display. The start date defaults to today.
Room Type & Location: Filter by room type or location - for example, ground floor.
Group Mode: Tick this box to highlight guests in the same group or multi-room reservation.
Refresh: Always click Refresh after changing filters.
View: Select to view the planner in other formats.
Additional features
Expand the filters using the grey + icon for more options, including:
Order By: Sort rooms by location or room ID.
View: Lets you choose different formats:
Day View: Shows who is in each room for a specific day.
Month View: Displays an entire month in a compact format.
Daily Rate View: Shows the price and rate for each booking.
Legend: Customise what appears on the left-hand side - for example, Room ID, Room Type.
Cleaning Codes: Filter by housekeeping status - for example, clean rooms only.
Show Unallocated: Display these at the bottom for easy drag-and-drop allocation.
Tags Options: Show extra details like guest names or number of occupants.
Filter by Room Attributes: Filter by features set up in your system.
Special Events Bar: Add public holidays or local events for quick reference can be added as special events.
Colour Codes and Status
Colours indicate housekeeping status and booking status. These are property-specific, so familiarise yourself with your site’s codes.
Rooms marked Do Not Move show a no-entry icon. Hover over the booking to see the reason.
Manage Reservations
Click on any booking in the grid to:
View reservation details, notes, and history.
Edit or add notes to the reservation.
Check in guests, unallocate or cancel bookings.
Access Room Billing after check-in.
For group bookings, use the additional button to view linked reservations.
Creating and Allocating Reservations
You can:
Create a reservation or maintenance task by selecting a square in the grid.
Allocate bookings by:
Dragging and dropping unallocated reservations.
Clicking on a room type and selecting the booking.
