Efficient room allocation ensures smooth operations and a positive guest experience.
Accessing the Allocation Screen
Navigate to the Guest Journey icon.
Select Allocate/Unallocate under the Front Office menu.
The default date range can be preset in the system.
All unallocated reservations within that date range will be displayed.
View unallocated reservations
To view unallocated reservations via the planner, follow the steps below:
Navigate to Guest Journey, then select Property, and then select Planner.
Click the + in the top-right corner of the planner.
Select Show Unallocated.
Click Refresh.
Unallocated reservations will appear at the bottom of the planner, ready for you to allocate by dragging them to the desired room.
To view unallocated reservations via Allocate/Unallocate, follow the steps below:
Navigate to Guest Journey, then select Front Office, and then Allocate/Unallocate.
Select bookings or booking lines from the drop-down menu.
Set the dates as required, then select Refresh.
Select to:
Manually Allocate to select a specific room number.
Auto Allocate to automatically allocate to the next available room.
Allocation Options
There are three main ways to allocate rooms:
1. Manual Allocate
Displays all available rooms for the reservation’s room type and dates.
Includes any activated attributes and notes for each room.
Click Allocate on the left-hand side to assign the room.
The reservation will then be removed from the unallocated list.
2. Auto Allocate
The system automatically assigns the next available room matching the reservation’s room type.
Allocation priorities can be configured in Any Settings.
3. Allocate All
Automatically allocates all reservations according to their room type.
Once allocated, rooms will appear on the planner.
