Access to Room Billing
Navigate to Rezlynx, Guest Journey, Billing, and then select Room Billing.
View a room bill
The dropdown allows for filtering the results by typing, whilst at the same time still being able to scroll through a complete list.
The following search criteria will be used: Room Id, Booking Reference or Guest Name.
When searching using just a number, it will only search based on Room Id. It will also search using an exact match in this scenario.
Bills will be displayed for Bedrooms, Standard C&B functions, NRA and Master Accounts.
Room Billing features
Once you have selected the relevant room bill, you have the following options available:
Billing Address
Select or add a new address to be displayed on the invoice.
New Charge
You can add additional charges to the bill by selecting New Charge.
Then select the Charge Type, from the following options:
Free Type - If no pre-defined product exists, it allows the selection of the analysis code for the revenue to be recorded. The description will appear on the guest’s bill, or if no description is added this will display the analysis code.
Products - Will display a list of pre-defined product codes in the system to choose from; these will have an analysis code already chosen for revenue reporting. The description that will appear on the guest’s bill is stated in the brackets of the chosen product.
Rate Plan - This can be used to add new accommodation charges by selecting from the rate plan codes.
The For Date is a date that will be shown on the billing, but this will not impact the financial periods. Transactions will still be in the same period.
Once the charge information has been added, select how to post the charge:
Post And Add Another - Posts the charge - Charge add successfully is confirmed on screen - and the Add Charge window is reset to allow another charge to be added.
Post and Close - Posts the charge - Charge add successfully is confirmed on screen - and the window closes.
Add Payment
Allows you to post the payment received for the outstanding bill. Unless integrated, you will also need to take the payment on your PED/PDQ machine.
Booking Reference and details
In the bottom left of the room bill, you will see the booking reference and other booking details. Click on the Booking reference to see a summary of the booking and to navigate to the booking.
Balance
Balance reflects the current room bill balance and updates automatically when changes are made to the room bill.
Predicted Balance
The Predicted Balance feature calculates the amount the guest is expected or predicted to owe at the end of their stay.
Included in the Predicted Balance:
Posted charges, except those on a Company Ledger folio.
Unposted charges, such as upcoming room nights or expected extras.
Automatically Excluded from the Predicted Balance:
Charges expected to be routed to a Company Ledger.
Charges set to be routed to another reservation.
This ensures the predicted balance accurately reflects the guest's anticipated payment.
Click on the Predicted Balance value to view a list of Unposted Charges included in the Predicted Balance value, and any charges expected to be routed in or out from other bookings. This feature gives you full visibility into the upcoming charges, helping you take payments confidently — even mid-stay.
Send Balance
This option will only be visible for GuestStay users. This button allows the bill to be sent to the lead guest to view, and allows the guest to pay their bill online.
Auto Poster
Allows the posting of charges up to and including the current date. When selected this option, any upsells on the reservation are also posted.
Assign Ledger Account
Attaching a debtor account for the invoice to be transferred to and paid at a later date by the company.
This allows for the bill to be viewed in various formats or emailed to the guest. The body text of the email is set up via System > Ini Settings > Room Billing.
Check Out
This allows you to check out the reservation and also completes the billing process. After check out, the room billing cannot be edited or amended.
Once you have selected/ticked bill items, you have the following options available:
Transfer To
Bill items must be ticked before the below options become available:
Room - To transfer an existing charge to another room. Please note you can only transfer to rooms already checked in.
Bill Split - To Transfer an existing charge to another spilt, this can be used if accommodation needs to be on one bill and extras on another.
Folio - A folio relates to a person booked into that room. Charges can be transferred to that person if they need a bill with their name and their address present.
Ledger - To Transfer charges to the ledger account if the company/agent will be sending payment at a later date as per an agreement.
Options
Bill items must be ticked before the below options become available:
Adjust - To change the price of an existing charge if incorrectly charged prior.
Delete - To remove completely any charges that have been incorrectly posted.
Split - To divide an existing charge to be able to transfer to an additional folio or room. Please note you can not split payment.
Edit Description/Comments - To change the description of the charge as it appears on the bill to the guest.
Group Transactions - select individual charges to appear as one. Note this can only be done if the charges are posted on the same date and for the same code. This cannot be used for nightly accommodation charges, and some 3rd party till charges do not allow this functionality.
Ungroup transactions - To reverse the above transaction grouping.
Once the bill is at zero value, you have the following option available:
Preview
Until you Finalised, you can preview an invoice using the View button below the invoice or the Print button at the bottom right of the screen. The preview will show all transactions that have been posted to the bill selected. This can be shown to the guest to ensure that the information and transactions shown on the invoice preview are correct.
Finalise
To be able to generate an Invoice Number the bill split must be finalised. This can be done by:
Clicking on Finalise, this means that no further changes can be made and an invoice number is generated.
Or by clicking Check Out to finalise all bill splits automatically, providing each split has a zero value.
Clicking on 'View' will allow you to print or send a copy of the bill with the invoice number now generated to the guest.
Reinstate
Once an invoice has been finalised no further changes can be made to the Invoice. This is because once an invoice has been generated it should be immutable for compliance reasons.
While the booking is resident, the option to Reinstate Invoice is available. This process does not change the original invoice, but creates a credit for the bill split for all transactions made.
📌Note: these will be reversed and re added as shown on the Postings report.
An additional bill split is then available with all the transactions of the reactivated invoice split. Changes or additional transactions for corrections can now be posted in this.
When clicking Finalise the Invoice would be given a New Invoice Number.
⚠️Important: Undoing and reinstating the checkout is only possible if the business day has not yet been completed. Once the day's closing has been carried out, all changes must be made via an NRA.
