The Availability Screen is a powerful tool that provides a clear overview of your inventory. It shows how many rooms of a specific type are available to sell on any given day, helping you make informed decisions about bookings and capacity.
Access the Availability screen
Navigate to Guest Journey, then click Property, and then select Availability.
Understanding the Availability grid
Top row: Shows your selected date range.
Left column: Lists room types and room type groups. Clicking on a room type code reveals a breakdown of individual, group, and room block allocations.
Main grid: Displays availability for each room type.
Rounded brackets ( ): Indicate the number of rooms blocked for a group or room block that are yet to be picked up. Click to navigate to the relevant group or block. You can learn more about this feature, using our guide on group availability.
Square brackets [ ]: Indicate overbooking availability. Overbooking is a feature enabled in Ini Settings.
Located below the grid, this section includes:
Total Availability: Rooms available to book.
Total Letting: Rooms sold.
Group/Block Breakdown: Reserved and picked-up rooms.
Rooms Out of Service: Indicates maintenance or long-term unavailability.
Total Stock: Total rooms at your property (excluding rooms deducted from stock).
Occupancy Percentage: Colour-coded based on configured thresholds.

Products: Click to view items with stock control.
Using filters
Once opened, the screen displays a grid with filters at the top for customising your view, including:
Basic Filters: Start by entering a start date and the number of nights you want to view. The start date defaults to today.
Order By: Choose to sort by room type or room type group.
Property Selection: If you manage multiple properties, use the drop-down to select which property’s availability you want to view.
Refresh: After changing any filter, click Refresh to apply changes.
Expanded filters
Click the grey + icon to reveal more options, including:
Filter by booking status, group, or room block status.
Tick boxes to include or exclude specific criteria.
View overbooking limits, shown in square brackets next to availability numbers if enabled.
Focus on a single room type group.
Cross-property group bookings
The Create Cross Property Group button allows you to create a group booking at an alternative property within your network.
Viewing and sharing reports
Click the View button to:
Display reports in different formats.
Print or email reports directly from the system.
Special events bar
This section is used to note public holidays or local events that may impact availability.
