Guestline Rezlynx: Create a User Group

You can create user groups to manage system access and user rights in a few simple steps.

Before being able to set up your users to access the system, user groups have to be created first. Groups allow you to create user rights, and you can have as many groups as required.

Accessing User Group Setup

Navigate to System, then within the System menu select User setup.

All current groups are shown at the top of the left-hand menu on this page. By default, you will see an Admin group that has access to all areas and nothing can be removed.


Create a New User Group

⚠️ Important: To complete this task, you need Admin access to the system configuration areas. Guestline are not able to set User Groups up on your behalf, this must be completed by an Admin user on-site.

To create a new User Group, follow the steps below:

  1. Select New Global Group at the bottom right of the screen.

  2. Enter the Group ID and Description.

    🤓 Tip: The group ID is the code for the group and will appear on user setup screens. The ID can only be a maximum of 12 characters using an underscore for a space if required.

  3. Select the Access tab and tick the access required for the group.

    🤓 Tip: Each section has various user rights - click on the arrow to expand the box to select more specific user access.

  4. Once you have selected all of the access rights for the group, click Save Changes.


Adding Users to Groups

Once you have configured the group, you can begin to add users to it.

To add users to a User Group, follow the steps below:

  1. On the platform homepage, click Users.

    📌 Note: Alternatively, you can select your Initials in the top right of the screen, and select My Guestline Account then select Users.

  2. Locate the user from the list, then click the Pencil icon to edit.

  3. Within the user's profile, scroll down to Permissions.

  4. Within Site Roles click into the box and select the required User Group.

    ⚠️ Important:Please note that only one User Group should be assigned to a user and not multiple groups. With multiple

  5. Once set, select Update Permissions, and the changes are confirmed on screen.


Important Notes

User Rights Changes: If you amend the user rights of a group with users added to it, they will keep their original user rights until they log off and back into the system. After this, the changes will come into effect.
