This information article addresses some frequently asked questions relating to platform users onboarding, access and permissions.

Onboarding

A popup screen appeared when I tried to login. What do I do?

To become a platform user please complete the information - including email address or side this over to set up a unique login. You can only skip the onboarding screen up to 5 times.

Can I edit the username or email address of a Platform/SSO user?

For security, we do not support editing a username or email address. If you require to do so, we recommend creating a new platform user. Make sure you add the same permissions and delete the previous user.

When I log in, I'm logged in as someone else.

Like in any other online service and for your own safety and privacy, we recommend using the log-out button when you are moving away from the computer. This is to ensure that no one else can use your account without your knowledge. By logging out this will ensure you your session has ended.
If you are using the Rezlynx Browser, you can configure automatic login, in the dedicated settings.
We would also recommend that you do NOT save your password if you are presented with this option.

How do I reset my platform user password?

If you have signed up using an email, you can reset your own password.
If you have signed up with a username, you will need a Superuser/Administrator on-site to reset your password.

Should I continue to access Rezlynx via the Browser or use the Guestline Home URL?

If you are a front desk user, and you need to use interfaces such as key-cutting software, you will need to continue to access Rezlynx via the Browser (using the SSO Log On option). If you have our Insights reporting suite, you should use the Guestline Home URL.

If the user has access to multiple Rezlynx & Roomlynx sites within a Group, will they be able to see all the same sites as they currently have access to?

When you onboard, all the multiple site IDs you have access to within a group should be under your onboarded account. If the siteIDs are not under the same group or if your legacy Rezlynx username was different on those sites, access to them will have to be given manually.

Access and Permissions

My site or group wants to create and edit detailed levels of permissions for what certain users can or can’t access and do on Rezlynx. How do I do this?

To set specific and tailored permissions for PMS Rezlynx, you should create a new Global or Local Group on the User Setup section of the PMS. After this has been set up, you can add or remove users from those Group or Site roles through the platform.

What if I want to remove those permissions from a user?

See the point above.
Please note that if a user doesn’t have any Group or Site role assigned on the platform users' management page, they won’t be able to access Rexlynx for that Group or Site.

How can I see what access and detailed rights a user has?

Check previous questions on how to create.

I have an existing user, already set up in the platform, who now needs access to Advanced C&B, where do I give them this access?

The Coordinator option is still located in Rezlynx, within the system menu select User Set Up. Select the user from the list, and select the coordinator tick box, and click save.

How will I control who can set up new platform users?

Those in the permissions group Admins are able to change user management permissions for other users.

When a Rezlynx user is set to use the platform, what user access rights will they have?

If the user self-onboards (the preferred migration method) they will have the same rights as they currently have. If you choose instead to create a new user for them, you will be able to assign the correct permissions at the group and site level on the SSO user management screen.

If a user didn’t have previous access to Roomlynx, but I enabled Distribution on the platform, will that user then be able to access Roomlynx/Distribution?

Yes, if this is enabled, the user will gain access to this service.

How can I provide Roomlynx/Distribution access through the platform?

You can do this by editing the settings for the user.

Can I set up new staff directly in the platform?

Yes, new staff should have their accounts created directly on the SSO platform.
