Guestline Evo: Manage organisation roles, products and features for users

Learn how to update organisation roles, product access and features for your Access Evo users.

Manage organisation roles and products

All users have access to the members section within Evo, but only Administrator Users can view, edit, or manage member roles.

You need to create your Access Evo users prior to managing their organisation roles, products and features.


Organisation roles

Organisation roles determine the level of access a person has within Access Evo.

You can assign permissions based on the following two organisation role types:

  • Administrator: Full access to all Access Evo features, with the ability to create, edit and delete users within Access Evo. Manages the Evo platform.

  • User: Access to Insights and Dashboards only, and standard Access Evo features such as Co-Pilot. Users can view a list of other users; however, they cannot create, edit or delete users or make any changes to users.


Manage organisation roles

⚠️Important: You must be an Administrator to complete the following steps. If you are not, please contact your Evo Administrator user, as Guestline support cannot complete this for you.

To manage Evo organisation roles, follow the steps below:

  1. Go to Members in Access Evo.

  2. Click the 3-dot menu for a member.

  3. Select Manage roles.

  4. Choose the desired organisation role.

  5. Click Save Changes and confirm in the pop-up.


Products

As an Access Evo administrator, you can view details of which Evo products a user has access to. The product can be directly managed from the members' menu.

Analytics

The options available for Access Analytics are:

  • No Access: Access Analytics doesn't appear in the menu and no analytics apps are available.

  • Designer: Can create their own analytics insights and dashboards. They can share this content with their colleagues.

  • Administrator: Can edit all content within the organisation, create their own content, and share any content with users within the organisation.

  • User: Can view and interact with the insights and dashboards assigned to them.


Data Engine

The ‘Data Engine’ option is currently visible in the interface but is not yet active for customer use.

Guestline Property Management System (PMS)

The options available for Guestline PMS are:

  • No Access: PMS doesn't appear in the Access Evo menus.

  • User: Access to the PMS from within the Access Evo menus.


Manage product access

⚠️Important: You must be an Administrator to complete the following steps. If you are not, please contact your Evo Administrator user, as Guestline support cannot complete this for you.

To manage Evo products, follow the steps below:

  1. Go to Members in Access Evo.

  2. Click the 3-dot menu for a member.

  3. Select Manage roles.

  4. Choose the desired product access.

  5. Click Save Changes and confirm in the pop-up.


Evo features

As an Access Evo administrator, you can view details of Evo Features and manage them directly from the Members menu.

The features available are:

  • Button Copilot: Copilot is a secure, AI-powered digital assistant designed to help you simplify everyday tasks. Learn more about this feature in ourCopilot overview article.

Manage features

To manage Eembers in Access Evo.

  1. Click the 3-dot menu for a member.

  2. Select Manage features.

  3. Choose the desired product settings.

  4. Click Save Changes and confirm in the pop-up.
