Guestline Evo: Manage Access Evo Users

You can edit Access Evo user permissions within the Evo platform by accessing the appropriate interface and modifying roles and feature access in a few simple steps.

⚠️Important: To edit Access Evo Features, you must have Access Evo Administrator rights.


Manage users

To view and manage users, follow the steps below:

  1. Within Access Evo click the Members icon, then search for the relevant member.

  2. Click the 3-dot menu.

  3. Select the required action, as shown below:


Manage user options

As an Access Evo administrator, you can view details of product roles and manage them directly from the Members menu, as well as invite users or change their roles.

Within the Members section you can manage users in the following way:

  • View Member - to see details of the user and their permissions.

  • Send sign-up email - When a new user has been created but an email invite has not been sent, this option will be available.

  • Manage tags - to help tag specific attributes of individuals. For example, skills, hobbies, qualifications, accreditations and work experience make it easy for users to search for the right colleague to collaborate with.

  • Manage roles - to view or change roles within the organisation, or products the user can access via Access Evo.

  • Manage features - to view or change features specific to Access Evo.

  • Change email address or change name, although listed within Access Evo, the options to change email address or change name for a user are currently not available. We would recommend deleting the user and creating a new user with the correct details.

  • Deactivate or delete - If the user has not yet accessed Evo, then you will be able to select delete. However, if the user has logged into Evo previously, then you will be able to select deactivate. To learn more, please read our article on Deleting an Access Evo user.

If required, you can also edit the users' Guestline SSO permissions following the steps below:

  • Log in to Guestline Home, then click Users and search for the user by their email address.

  • Select the user with the Access Evo icon, their previous user account will show without the Evo icon.

  • Edit the user as required, then click Update Permissions.

Edit Dashboard Permissions

To review and change dashboard permissions, follow the steps below:

  1. Within Guestline Rezlynx PMS, click the Access Evo button.

  2. Select Products, then select Analytics.

  3. Select Dashboards.

  4. Find the dashboard you need to share access to, then click the sharing icon next to it.

  5. Toggle on to grant access, or toggle off to remove access.

  6. Click Save.


Troubleshooting Permission Changes

Changes Not Taking Effect

  • Ensure the user logs out and back in to refresh permissions.

  • Verify changes were saved properly in both Access Evo and Guestline Home.

Permission Inheritance

  • Users inherit base permissions from their organisation.

Regular Review

  • Review user permissions regularly to ensure appropriate access.

  • Remove unnecessary permissions for security.

  • Update permissions as roles change within the organisation.

Cannot see Guestline PMS

  • Check with your Administrator that you have permissions for PMS.

  • Ensure the Guestline SSO permissions have been set for you to access the PMS.
