Once the overbooking configuration is completed, it will output to the Availability and Rate Plan Search pages.
Availability
The Availability page includes an ‘Include Overbooking’ checkbox located under the advanced filters.
The default value for this is taken from the ini Settings ‘Include Overbooking by default’ setting.
🤓 Tip: You can review this setting by navigating to System, System, then select Ini Settings. Within Ini Settings, select Reservations, then scroll down to Overbookings to check if the default checkbox is selected.
When checked, the results grid will include an additional value in square brackets, which is a sum of remaining availability plus overbooking values. This gives the total number of rooms permitted to be sold.
Where Overall House values have been applied, these will also display in the same way on the 'Total Avail' row of the grid.
An example of a Room Type Fully booked, where the overbooking value has been set to 1, is shown below:
An example of a Room Type where the overbooking value was 1 and has been used, is shown below:
Rate Plan Search
The Rate Plan Search also shows the ‘Include Overbooking’ checkbox. The default value for this is also taken from the Ini
Settings ‘Include Overbooking by default’ setting.
🤓 Tip: You can review this setting by navigating to System, System, then select Ini Settings. Within Ini Settings, select Reservations, then scroll down to Overbookings to check if the default checkbox is selected.
When the Rate Plan results are displayed the grid header includes the overbooking values, as shown below:
The rate plan search results screen shows:
Display of Total Hotel Availability
Display of Room Type Availability + Room Type Overbooking value in square brackets
Display of Total Hotel Availability + Overall House Overbooking value in square brackets
If actual availability is zero or exceeded, but overbooking limits still allow remaining availability, the system will notify the user that they are booking into the predefined overbooking values and require the user to confirm their choice. If the user does not have permissions to overbook, the system will notify the user that they do not have sufficient access to perform an overbooking.
🤓 Tip: Check user permissions by navigating to System, System, then User SetUp. Select a User Group, then select the Access tab and ensure "Allow Booking of Pre-Defined Overbooking Values" is selected. These settings can only be changed by an Admin or SuperUser on-site.
Groups and Room Blocks
When adding Block values to a Group or Room Block the system follows the same logic and warnings as within the Rate Plan Search page.
If the user wants to view the Overbooking values, they will be able to view these on the ‘Block’ tab when choosing to ‘Show Availability'. When selected to Show Availability, the user will be able to see the Overbooking values in square brackets.
