Guestline Rezlynx: Create a reservation

Reservations can be created from Availability, the Planner, Guest Card, and Create.

Create a bedroom reservation

To create a bedroom reservation, follow the steps below:

  1. Navigate to Guest Journey, select Reservations, then select Create Reservation

📌Note: Alternatively, you can create a reservation via these routes:

  • Navigate to Guest Journey, select Property, then select Availability. Find the required date and room type, then click to select the square and drag to select multiple nights. Complete the reservation search screen to find rates.

  • Navigate to Guest Journey, select Property, then select Planner. Find the required date and room type, then click to select the square and drag to select multiple nights. Click Create Reservation, then complete the reservation search screen to find rates.

2. Enter the guest details, then select an existing profile or select to Add new profile

3. Enter the contact information for the person who made the booking, then select an existing profile or select to Add new profile.

4. Add the Company, Agent or Source as required.

5. Within the Room & Rate section, select Add.

📌Note: If you created the reservation via Availbility or Planner this section will already be populated, so you can skip to step 8.

6. The rate plan search window opens, enter:

  • From date of the reservation.

  • Number of Nights.

  • Number of occupants in the room.

  • Optional: Select a room type and a rate plan.

7. Click Find Rates, and select the required rate.

8. Check the Room & Rate booking line displays correctly with the required market segment. If the rate is incorrect, select Option and then Override to set the required rate.

📌Note: You can allocate a room once the reservation has been saved.

🤓Tip: For different prices on different nights, add booking lines and override each line individually.

9. Within the Booking Information section, select:

  • Booking status.

  • Media Source.

  • Untick Allow room moves to restrict.

10. Click on the Guarantee tab, to add a guarantee type, ledger accounts, or charge routing if required.

11. Click on the Notes & Logs tab, add notes to the required sections.

12. Click on the Upsells tab to add any upsellls as required.

13. Click on the Main tab, check the reservation shows as required and the total for the stay is as expected.

14. Click Save.

15. Within the Room & Rate section, select Allocate to select a room.


Reservation Tabs

There are 6 tabs where the following information can be added to the Reservation.

  • Main - Guest & Contact Information, Room & Rate data, Booking Information, Balances & Deposits and Company/Agent/Source Information for Reporting.

  • Guarantee - Displays Billing information, Ledger Details and Payment Interfaces.

  • Notes & Logs - Notes here can be used for reports, and information available which follows the guests journey. Reservation Attributes allow additional fields. Logs display changes to the booking.

  • Upsells - Optional extras which can be added to the reservation at the time of making the booking.

  • Profile Data - Guest and Contact profile detail when linked, will display here.

  • To Do Items - To do items can be viewed and added to the reservation from this tab.

  • Tasks is functionality that permits users to record actions that need to be performed at a future date.


Mandatory Fields

There are 4 mandatory fields in a reservation, 3 on the Main tab and 1 on the Guarantee tab. These are denoted using a red asterisk*;

  • Guest Details

  • Market Segment (in the Room & Rate section)

  • Media Source

  • Type

Once the mandatory fields have been completed you can save your reservation. Mandatory fields can be changed from the mandatory fields function under the System column on the System menu.


Save / Close / Back

Once you have Saved your reservation, a Booking Reference Number will appear in the bottom left of the reservation. It will also say who created and edited the reservation with a date and time stamp.

If you select Close instead of save, the reservation will save and return to the screen you were on prior to making the reservation. It will not display the Booking Reference.

Back will take you to the screen you were on prior to the reservation. Anything not saved prior to selecting Back will be lost.


Options (...)

Once your reservation has been Saved an options menu will appear.

This menu allows you to:

  • Add to Q - will only appear on the check in date.

  • Cancel Reservations.

  • Check in.

  • Copy Booking.

  • Deposit - to check, add or remove.

  • Go to Multi-Room.

  • Templates - to send confirmations, pre-stay emails etc.

The below three options will auto-direct to the print screen. If you wish to save, then you can select in the printer destination, save as PDF.

  • Print Booking Details.

  • Print Pro-Forma.

  • Print Reg Card.
