Guestline Rezlynx: Check in a reservation

bYou can use the check in screen to filter reservations and check in guests, in a few easy steps.

Checking in a reservation involves navigating the Check In screen to find the guest's booking, printing their Reg Card, and then checking the guest in.

You can complete check-in via two different methods from the Check In screen:

  • Check In - allows you to review the check-in confirmation screen. This page enables you to complete various checks, including the ability to input newspapers, alarm calls and guest profile information.

  • Quick Check In - allows you to bypass the check-in confirmation screen. As a result, you would need to update the reservation after check in and any auto-added check-in products will not post to the room billing.

Navigate within the Check In screen

To navigate, filter, and view results within the Check In screen, follow the steps below:

  1. Navigate to Guest Journey, then from the Front Office menu, select Check In.

  2. Select the required arrival date, and click Refresh to display the tables for Bedroom Bookings, and at the bottom of the screen Function Bookings. The number of remaining bookings to check in will appear at the top of each table.

    • To filter the information shown, click on the column headers to sort the entries within each table in ascending or descending order.

    • Group Mode can be selected to display bookings filtered specifically for individuals, Groups, Functions and Masters bookings.

      📌 Note: Group mode setting and the order set for the results will be cached (remembered) for each user so that they remain in place for the next visit to the page.

    • Within the room column, a room number will be displayed if allocated, and a coloured bar shows the rooms ' housekeeping status.

    • At the bottom of the screen, you can: print registration cards; add to Q rooms; allocate a room; complete a quick check in as detailed below; and check in as detailed below.


Check In a reservation

To check in a reservation from the Check In screen, and reviewing the Check In confirmation page, follow the steps below:

  1. Navigate to Guest Journey, then from the Front Office menu, select Check In.

  2. Locate the room or rooms you need to check in, you can then either:

    • Click the Check In icon on the right-hand side.

    • Alternatively, select the tick box next to the room or rooms,then click Check In.

  3. On the Check In Confirmation screen, you can check and update reservation information if required.

    • Note: On this screen you will see:

      • Summary shows the total for the stay, the deposit paid, and the remaining balance.

      • Notes can be reviewed and additional notes added to the reservation.

      • Folios gives the option to edit, unlink, or create guest profiles. Estimated time of departure (ETD) can also be added. Value box can be used for entering payment amount and card type. Newspapers can also be added in this section.

      • Options can be reviewed and updated for alarm calls, guests' credit limits, and interface posting modes. The interface posting mode relates to whether postings from interfaces such as EPoS, call logger, etc should be allowed to post straight into the room billing for the reservation.

      • Products can be added to the room as upsells.

  4. On the Misc tab, you can edit attributes, and update cleaning schedule codes if required.

  5. On the Guarantee tab, you can review or add cards to the payment gateway if required.

  6. Select Reg Card to view or print the guests' registration card if required.

  7. Click Confirm to complete check in.

📌 Note: Masters can either be checked in prior to the booking, or if you check in a booking or bookings linked with a master the system will auto-check the master in at the same time.


Quick Check In

To check in a reservation from the check in screen, without reviewing the check in confirmation page, follow the steps below:

  1. Navigate to Guest Journey, then from the Front Office menu, select Check In.

  2. Locate the room or rooms you need to check in, click Quick Check In.

    📌 Note: Checking in reservations without viewing the check in confirmation screen will bypass various checks, including the ability to input newspapers, alarm calls and guest profile information. This will need to be entered on the reservation screen. Also note that Auto Add check in Products will NOT post.

  3. Read the warning on-screen and select OK if you are happy to proceed, and to complete check in.
