Guestline Advanced C&B: Search for a function

You can search for a function via Search/Create function, in a few simple steps.

An Advanced C&B event will consist of one or more functions. For example, a Wedding event may include distinct functions such as the Wedding Breakfast, Wedding Reception, and Ceremony each designed to offer unique experiences for the event booker and their guests. Functions are created within an event, using specific function types and function templates, and when functions are checked in the revenue is raised within the system. Functions can also be copied, cancelled, and reinstated as required. Functions can also be searched for within the system at any time.

Search/Create Function works similarly to the 'Search/Create Event' functionality, but instead of returning the full event, like a wedding. It will only show the functions that together make the event. For Example, the wedding ceremony.

To search for a function, follow the steps below:

  1. Navigate to Rezlynx, Advanced C&B, Events, then Search/Create Function.

  2. Search for the function using any of the following parameters:

    • Date options: choose the date range for the events you are seeking

      • All Dates - Will return the other filtered specification for all dates in the system

      • Specific dates - When selected will allow you to filter by a date from and to.

    • Dark Blue Buttons – These are quick search buttons to show functions happening yesterday, today, tomorrow, this week, next week, last week.

    • Status: Select from the drop-down list, or tick the box to select all event statuses.

    • Contact name: Click on the 3-dots to search for a company profile to link.

    • Event Ref: Can be entered to show specific functions within an Event.

    • Book ref: Can be entered to show specific function references.

    • Delegates available: Type in a value to show any functions with this number of delegates or higher.

    • Limit: You may want to change this to 9999 for example to extend the limit on the results you see.

    • Function Type: Select from the drop-down list.

    • Company: Click on the 3-dots to search for a company profile to link.

    • Event Name: Free type section

    • Function Room: Select from the drop-down list

    • Unallocated: Select this to see any functions that have not yet been allocated.

  3. Click Search to see the results.


Using this as a report

You can use the search functionality as a report. You search using the filters and then you will need to select the Export button on the left hand side. This will then open it as an excel spreadsheet. When you export this report you will see more columns of data.

What could I use the report for

  • Checking for unallocated function rooms

  • Chasing functions with specific statuses

  • Looking at the number of functions over a date range.
