Guestline GuestStay: Digital or self check-out

This information article provides further information on the GuestStay Digital Check Out within Rezlynx.

The check-out functionality allows guests to perform the check-out step from their phones or kiosks, which then marks the reservation as checked out in the PMS and automatically delivers the invoices on the guest's email inbox. When enabled, guests will also have the possibility to choose a different billing addresses.

This functionality is available for any GuestStay customers, including those not using a kiosk. This functionality is available subject to the terms of your GuestStay plan.

To complete payments on departure the site must have GuestPay enabled.


Activation

To activate or deactivate this feature, follow the steps below:

  1. Within Rezlynx PMS, select Menu.

  2. Select GuestStay, then under Configuration select Functionality.

  3. Scroll down to Configure your GuestStay experience.

  4. Slide the toggle next to Self-check out to activate or deactivate as required.

    📌Note: Automatic invoicing only works for guests performing the check-out on their own, it won't automate the email if the reservation is checked out from the PMS. Also note that in order to have the automatic invoicing working, the customer needs to have Invoice Enhancements enabled.

As the emails are automated once a guest checks out, the subject and body for those emails needs to be set up. To edit the subject and body of the email, navigate to System, System, Ini Settings, Room Billing and make sure those are set up as required.


Digital Check Out & Invoicing

After ensuring the balance is 0 you can Send Balance to Guest, the system will ask the guest if they want to check-out. The guest can chose to check out at a later point (using the same URL) or may select Check Out.

When Check-Out is selected, the system provides reminders to the guest (see screenshot below) and performs the check out within Rezlynx and automatically sends the invoice.

Please note the following restrictions:

  • The check-out in the PMS might have a delay, meaning that the guest might check out in GuestStay but for a few seconds (or even minutes) the reservation won't be shown as such in the PMS.

  • The check-out might fail in the PMS if not all bill splits have a 0 balance.

  • The invoice won't be sent to a guest if there's no email in their profile.

  • The invoice won't be sent to a guest if the hotel does not have Invoice Enhancements enabled.
