Guestline Rezlynx: No Show - Charge to go to Ledger Account

You can process No Show bookings where the charge needs to be sent to a Ledger Account within Aged Debtors, in a few simple steps.

This article will help you to charge a No Show to a Ledger Account.

System Date Users - Charges to Ledger

⚠️ Important: Use this method if you have system date enabled. If you see a date in the top right of the screen, then system date is enabled for your property. If you do not have this feature enabled, please scroll down to the appropriate section.

If you need to send the charge for a No Show to a Ledger, follow the steps below:

  1. Create an NRA, linking the guests' profile and adding the required Purchase Order number.

  2. Once the NRA has been created, click Billing.

  3. Once in the NRA billing, click New Charge to charge for the cancellation.

  4. Within the Free Type section, enter the information as required, including:

    • Analysis code - where the charge will be attributed to within the system.

    • Description - usually booking reference of the reservation, the guest name and ‘No Show’.

    • Quantity - how many nights are you charging for.

    • Value of the charge - this value will be timed by the quantity so check the value entered is correct.

  5. Click Post to create the charge.

  6. Select Assign Ledger Acc in the bottom right of the screen.

  7. Search and select the required Ledger account.

  8. Tick to select items, then select Transfer To, and Ledger to move selected payments to the Ledger folio.

  9. Check the bill is correct and select Check Out to send the charges to the Ledger. This will now show within the Aged Debtor account and can be emailed, viewed and printed as required.

  10. Add a note to the No Show booking to confirm that an Invoice has been raised and sent to the Ledger account.


Non-System Date Users - Charges to Ledger

⚠️ Important: Use this method if you do not have system date enabled. If you see a date in the top right of the screen, then system date is enabled for your property. If you do have this feature enabled, please scroll up to the appropriate section.

If you need to send the charge for a No Show to a Ledger, follow the steps below:

  1. Create an NRA, linking the guests' profile and adding the required Purchase Order number.

  2. Once the NRA has been created, click Billing.

  3. Once in the NRA billing, click New Charge to charge for the cancellation.

  4. Within the Free Type section, enter the information as required, including:

    • Analysis code - where the charge will be attributed to within the system.

  10. Navigate to the No Show reservation, select 3-dot menu, and Cancel Reservation.

  11. Within the Cancel Reservation screen, select a Cancellation Code from the dropdown menu and add a cancellation note if required.

  12. Select Cancel to proceed with the booking cancellation.

  13. The cancellation email window is shown. You can either:

    • Send email to guest: Tick the email address required, then select the Template to send and click Execute.

    • Bypass the email screen: Click Continue.
