Guestline Advanced C&B: Create an Advanced C&B room

You can create Advanced C&B rooms in a few steps.

Before creating Advanced C&B rooms, please ensure the room types are built within Rezlynx and the location types and layouts are built within the Advanced C&B configuration settings. New rooms can also be created for bedrooms.

Create function room types in Rezlynx

If not already set up, to create function room types in Rezlynx, follow the steps below:

  1. Navigate to Rezlynx, then click System.

  2. From the Codes & Rules menu, select Room Types.

  3. Click New Room Type.

  4. Complete the information as required:

    • Room Type Code

    • Short room type code should be capitals, maximum of 4 characters

    • Description of the room

    • Pax or number of delegates in the room

    • Group code can be selected from the drop down

    • Room type class

    • Expose to Portal does not need to be ticked

  5. Click Save.


Create location and layout types in Advanced C&B

If not already set up, you need to create location types in Advanced C&B.

Create an Advanced C&B room

To create an Advanced C&B room, follow the steps below:

  1. Navigate to Advanced C&B, then from the Configuration menu, select Rooms.

  2. Click New Function Room.

  3. Complete the information as required on the 6 tabs:

    • Generic tab contains the following features:

      • Name Description will be visible on the diary.

      • Room Type is selected from the drop-down.

      • Allow sharing tick to allow events to share the same space at the same time.

      • Show in Diary if unticked will be hidden from diary view unless selecting the diary filter to include hidden.

      • Picture 1 & 2 select images for the room - these are selected from files loaded into the Media Manager.

      • Min & Max Capacity must be completed.

    • Layouts tab contains the following features:

      • Add layouts that are suitable for the room, including min & max capacity.

      • Show as Default if required, however, this will default on new bookings and if the booking is for a greater number of delegates than the default you will not be able to proceed with the booking.

    • Rates tab contains the following features:

      • New room hire rates can be added that will be automatically populated for the user.

      • Valid From/To should be added.

      • Rate Amount should be added.

    • Misc.Items tab contains the following features:

      • New allows you to add items to the room, or as a a prompt for upsells, by choosing an item, quantity, and analysis code to charge.

    • Closed Off Periods tab contains the following features:

      • New allows you to close periods/grey dates out in the diary, which shows the reason when hovered over.

    • Images tab shows any images added on the Generic Tab.

  4. Click Save.

⚠️ ​​Important: Configuration that has been used on an Event should not be deleted as it will cause errors within the system. Inactive selection should be used wherever the configuration is no longer needed.
