Within Standard Conference & Banqueting (C&B), a function room is selected when creating a function and helps the teams onsite with set up.
⚠️Important: If you are wanting to change an existing function room then this should be done via a Room Stock Change.
To create a new function room in Standard C&B, follow the 4 steps below:
Step 1: Check Room Type Groups
Prior to creating the room type, ensure you have a FUNCTION Room Type Group set within the system. To check if a Function Group is set up within the system, follow the steps below:
Navigate to Rezlynx, Settings, Codes & Rules, and then Room Types.
In the menu down the left-hand side of the page, look for a group called FUNCTIONS.
If this is listed, then please proceed to Step 2: Create room type.
If this has not previously been set up, follow the steps below:
Click New Group.
Enter Room Type Code as FUNCTION.
Enter the Description as Function Rooms.
Click Save and continue to Step 2: Create room type.
Step 2: Create New Room Type
To create a new Function Room Type, follow the steps below:
Within Rezlynx, Settings, Codes & Rules, Room Types select New Room Type.
Complete the fields as required:
Room Type Code: Up to 12 characters, using capitals only and use _ underscores for spaces if needed. This cannot be changed once saved, and appears on the left-hand side of the Diary.
Short Room Type Code: This will auto-populate when saved.
Description: Add a description for the room. this can be changed at any time as needed.
PAX: Maximum number you can seel the space for.
Group Code: Select the function group.
Room Type Class: Select the function room class.
Expose to Portal: You cannot expose function rooms for sale online, so leave this un-ticked.
Click Save.
You must continue to steps 3 and 4 below to complete the new room set up.
Step 3: Check Main and Sub Groups
Prior to creating the room, ensure you have a FUNCTION Group and Sub Group set within the system. To check if these are set up, follow the steps below:
Navigate to Rezlynx, Settings, Codes & Rules, and then Rooms.
In the menu down the left-hand side of the page, look for a group called FUNCTIONS, and use the Arrow to expand the menu. You are looking for a Sub Group also called Functions.
If this is listed, then please proceed to Step 4: Create room.
If this has not previously been set up, follow the steps below:
Click New Main Group.
Enter Code and Description as FUNCTION.
Click Save.
Click New Sub Group.
Enter Code, Description and Main Group as FUNCTION.
Click Save and proceed to Step 4.
Step 4: Create New Room
To complete the set up of the new function room, follow the steps below:
Within Rezlynx, Settings, Codes & Rules, Rooms select New Function Room.
Complete the required fields:
Room ID: Needs to be a unique room number and start higher than your bedrooms, i.e. 800, 900.
Description: Full name of the room. This will appear on confirmations/function sheets.
Sub Group Code: Function or if you built different subgroups, select the correct one.
Room Type Code: Select the one you created in Step 2.
Pax: Maximum numbers the space can be sold for.
Complete any other fields, if required, to provide additional information about the room.
Click Save.
Once you have completed all 4 steps the room will be set within the Function Diary and system as required.
⚠️IMPORTANT: If you have Standard C&B rate plans, remember to go into each one and tick the new room type so that the rate plan includes the new room type.
