The Pickup & Wash Report gives you visibility into how your groups and room blocks, referred to collectively as allotments, perform over their lifecycle. You can see what inventory has been picked up, what has been washed off or released, and what is still remaining, along with the revenue impact of that activity.
⚠️Important:
You can only access this report if you have permission to run the Pickup & Wash Report in User Setup within Guestline PMS. If you do not have access, contact your administrator.
The report is not updated in real time; data is refreshed overnight. The time of the last data update is shown in the top right of the report. When opening the report for the first time each day, there may be a short loading delay while the data cache is generated. Once loaded, subsequent visits to the report on the same day will typically load more quickly.
Groups and room blocks created before 15 January 2025 are not included in this report.
If your site is part of a group, you can view and filter across all properties in that group using the Site ID data table column.
Run the report
Within Guestline PMS click Menu, then click Reports.
Under Reservation reports, click Pickup & Wash Report.
Select the report area you want to focus on.
Select the required filters. The data automatically updates as shown below:
Report output
Allotments
The table lists all allotments with creation date, stay range and description. By default it shows allotments with a future stay range and excludes cancelled ones, though this can be filtered. Hover over an individual allotment for more options, as shown below:
Selecting an allotment view summary displays:
A breakdown of picked up, washed, and remaining inventory.
A pie chart showing inventory distribution.
A timeline of allotment activity, including:
Rooms added.
Rooms washed.
Rooms picked up.
The timeline view can be hidden or viewed as a description or chart.
Revenue associated with the allotment.
Full pickup and master tables, with links through to the actual reservations.
Any transfers or room-type moves that occurred within the allotment.

Track a detailed history of the allotment as a whole.
Drill down into the history of specific blocks or groups of blocks.
Washes
A wash occurs when inventory is returned to general availability from a group or room block through either:
Manual removal of inventory from the allotment.
Automatic release through a release rule.
Once inventory has been washed, it is no longer held against the allotment.
The wash list by default shows all washes with one wash event shown per row. Use filters to group and refine searches, for example, group by wash date to understand forecast revenue changes.

Investigate reductions in forecast revenue.
Review activity by grouping records, such as by wash date.
Pickups
The table lists pickup events across all allotments. Pickups are shown per room-night. For example, a reservation of 3-nights will therefore represent 3-pickups. By default, this report shows one pickup per row, for all future stays.

Companies, market and packages codes
These sections allow you to drill into the associated company, market code, or package code of your allotments. Each supports filtering on multiple selections at once. This shows:
All allotments linked to that company/market code/package code, past and upcoming.
A historic wash percentage.

Track revenue streams.
Judge risk before agreeing to oversell against a company's block.
Review income before agreeing to new contracts or special rates.
Toggle between Total and Per Allotment to view either the total summed metrics or the sum of each allotment’s average. Per Allotment reduces the influence of allotment size, making it particularly useful when comparing allotments of significantly different sizes.
Report terminology
Allotments: Collective name for groups and room blocks.
Add: When inventory is added onto a block.
Wash: A wash is any inventory released from a group or room block, or released automatically via a release rule. Once washed, that inventory is no longer held against the allotment. The report does not distinguish between a wash caused by a release rule and a manually removed wash.
Net wash/add: Washes and adds cancel out.
Pickup: A pickup is generally per room-night, so a reservation checking in on Monday and checking out on Wednesday would represent 2 pickups (for Monday and Tuesday).
Transfer: A transfer occurs when a pickup is moved from one block to another. For example, if a pickup on block [DBL, 1 adult, 0 children, 0 infants, 01/01/2026] is moved to block [DBL, 2 adults, 0 children, 0 infants, 01/01/2026] then that pickup is said to have been transferred.
Removal: A removal occurs when a reservation is shortened. For example, a two-night reservation initially accounts for two pickups. If the reservation is subsequently shortened to one night, one of those pickups is considered to have been removed.
Frequently asked questions
Can I view more than one property at once in this report?
Yes. The report operates at group level, allowing users to:
View multiple properties from a single report.
Filter across all properties within the group.
Analyse data without switching between individual properties.
Can I export data from this report?
Not currently. Export functionality is expected in future updates.
Will older groups and room blocks appear in the report?
Only allotments created on or after 15 January 2025 are included.
Allotments created before this date will not appear, even if their stay dates are in the future, because historical data is not available before that point.
Why might some revenue figures appear inaccurate?
The report is not updated in real time, data is refreshed overnight. The time of the last data update is shown in the top right of the report. If you have made a change to a group since the report data update, then the change will not be reflected in the report until the next data update overnight.
Revenue figures may occasionally be slightly inaccurate where an allotment has undergone significant changes, such as:
Room combinations being added.
Room combinations being cancelled.
Previously cancelled combinations being re-added.
Stay dates being shortened.
Pickups being reassigned to different rooms.
Where these changes affect the reliability of the timeline or revenue calculations, a warning message is displayed within the report.
