Guestline PMS: Setup and log in using passkeys for Multi-Factor Authentication (MFA)

You can set up and use passkeys as your Multi-Factor Authentication (MFA) method in Guestline in a few simple steps.

Passkeys provide a phishing-resistant MFA option for enhanced security when accessing your Guestline account. They use either a physical security key - such as a YubiKey or Google Titan - or your mobile device’s biometric sensor, fingerprint, or PIN. This creates a unique cryptographic link between your account and the official Guestline sign-in page, ensuring attackers cannot intercept or copy your credentials.


Before you start

If you don’t currently have MFA enabled: Enable MFA on your account using the standard process. You’ll be prompted to enrol when you next log in.

If you already use one-time password (OTP) MFA: Your current setup will continue to work. Only new MFA registrations will use Passkeys.


Setting up your Passkey

To set up your passkey, follow the steps below:

  1. Log in to your Guestline account.

  2. On the Keep Your Account Safe page, choose the Security Key option.

  3. Select Use security key.

  4. Your device's operating system will prompt you to store your passkey. Choose where to save your passkey.

⚠️ Important: If you do not see the iPhone, iPad, or Android device option, scroll down to Troubleshooting at the end of this article for further assistance.

Enrol with an iPhone, iPad, or Android device

To use a mobile device as a passkey, follow the steps below:

  1. Scan the QR code on your screen, with your mobile device's camera. Below is an example of the QR code shown:

  2. Follow the prompts to pair your device with your computer.

  3. On your mobile device, confirm the creation of the passkey using your fingerprint or lock screen password or device PIN to connect your device.

  4. Give your passkey a memorable security key name.

  5. Click Continue to complete setup.

  6. Once confirmed on screen, click Continue again to complete the process. as shown below:

Enrol with a physical Security Key - for example, YubiKey, Google Titan Security Key, SoloKeys, etc.

To use a physical security passkey, follow the steps below:

  1. Insert your security key into a USB port.

  2. Set up a PIN, if new, or enter your existing PIN.

  3. Touch your security key when prompted.

  4. Give your passkey a memorable security key name.

  5. Click Continue to complete setup.


Log in with your Passkey

To log in with your Passkey, follow the steps below:

  1. Log in to your Guestline account.

  2. Click Use security key.

  3. Your device's operating system will prompt you to choose a passkey.

  4. Follow the on-screen prompts based on your selection:

    • Mobile device: Authenticate using your device.

    • Physical security key: Insert it, enter your PIN, then touch when prompted.

  5. Once completed, you will be logged in to Guestline.


Troubleshooting

What if I lose my passkey?

Contact your Admin user immediately to reset your MFA and set up a new passkey.

Do I still need my password?

Yes, the passkey is the second factor after your password.

Can I use my passkey on multiple computers?

Yes, physical security keys work on any computer. Mobile device passkeys work wherever you have your phone with you.

Is this more secure than one-time password apps?

Yes, passkeys are phishing-resistant and cannot be intercepted or accidentally shared.

Failed to log in with Passkey, and now I am cannot get back to the log in page:

Clear your cache if on the Rezlynx Browser, or clear your cookies and other site data on your browser. Once completed, access the log in page as usual.

My screen Microsoft Security screen looks different:

You need Windows 10 (version 1903 or later) or Windows 11 to use passkeys, check your Windows version.

I cannot see an option for iPhone, iPad or Android devices option when choosing a passkey:

⚠️Important: Windows 11 22H2 or later is required for cross-device passkeys and Android 9+ or iOS 16+ phone

To resolve this issue, please follow the steps below:

  1. Click Cancel, as shown in the image below:

  2. Click Try another method.

  3. Select Security Key, even though you want to select a mobile device.

  4. Select Change as shown in the image below:

  5. The list of devices will be updated, and you should be able to select a mobile device.

  6. Continue to use the steps in this article, see the section on Enrol with an iPhone, iPad, or Android device.
