The Company Sales Activities is a tool used primarily by sales and account managers for the purpose of recording activities and tasks associated with a company profile. This can be used to track and report on activities such as sales phone calls, meetings, issuing contracts etc.
Within this article, you can create Activity Types. These can then be used to classify actions within the Company Sales Activities report.
Review Activity Types
To review activity types, follow the steps below:
Navigate to System, Codes & Rules, then select Activity Types.
You can complete the following actions on Activity Types:
Delete - To remove if not required, please check that the activity type has not been used prior to deletion.
New - To add more options when logging activities or tasks. The code can be no longer than 12 characters long. If a space is needed, use an underscore.
Save Changes - To save any amendments.
Discard Changes - To ignore any amendments.
Create a new Activity Type
To create a new Activity Type, follow the steps below:
Navigate to System, Codes & Rules, then select Activity Types.
Click New.
Add an Activity Code and a Description.
Note: The code can be no longer than 12 characters long. If a space is needed, use an underscore.
Click Save Changes.
Create a new Company Sales Activity
To create a new company Activity Type, follow the steps below:
Navigate to Profiles, Companies, then Sales Activities.
Click on Add Activity. A new company sales activity consists of three tabs:
Activity
The Activity tab is the header of the sales activity, where task information can be entered about the activity and a specific salesperson assigned. Items can then be marked with a completion date, and notes can also be made to record chases and/or any follow-ups required.
⚠️Important: A Company and Contact Profile must always be linked to the activity.
To complete the Activity tab configure the information as required, including:
Add Company Profile: Click Search to find and select the company profile
Add People Profile: Click Search to find and select the people profile
Select the Sales Person or operator.
Select the Activity Type.
Select the Status - Active - this can be changed to complete when that activity has been completed.
Enter a Description.
Select the Start and End date and Time.
Complete Date and time will be updated when the status is set to Complete.
Enter additional Notes if required.
Click Save.
Assignments
This tab is used to assign multiple operators to the sales activity.
To complete the Assignments tab configure the information as required, including:
Click Add.
Select the required operator from the Assignee Name dropdown.
Tick Is Primary - Activities can be filtered by primary assignees on Company Sales Activities page.
📌Note: Click Remove if operator is no longer relevant.
Click Save.
Tasks/ToDos
This tab is used to assign individual ToDos to the sales activity.
To complete the Tasks/To Dos configure the information as required, including:
Click Create To Do Item to set a reminder.
Click Refresh to update if changes are made.
Click Save.
Reporting on Company Sales Activities
Company Sales Activities can be reported on in one of two ways:
Option 1: All Companies
Users can search and/or report on their sales activities by applying any of the following filters:
Activity Status
Activity Type
Start Date
End Date
Assignee - Sales Person Assigned - this can also be filtered down to primary assignee only.
Option 2: Company Specific
Sales Activities can be created/viewed on the Activities tab within a Company profile. This will specifically show only activities relevant to that Company Profile, but can be reported and searched for with the same filters as above.
