Sensitive guest data
We have placed enhanced security measures on the Design Query feature, as this report allows the export of sensitive guest data.
Only Admin level users, with Multi-Factor Authentication (MFA) enabled, have the necessary permissions to use the Design Query feature, and only they can grant access to the report for non-Admin users. Guestline Support are not able to edit user permissions.
Overview of the report
The design query report is a detailed report which can be used to review reservation data and is usually used to analyse the demographic of a property's client base and to generate mailing lists. You can obtain historical or future data from reservations and linked guest profiles with this report.
⚠️Important: If you do not have access to this report, please speak with your Admin user to grant access.
How to run the report
To run the report, follow the steps below:
Navigate to Rezlynx, Reports, Sales and Marketing, then select Design Query
At the top of the screen you will see a member of blue function buttons including:
Max records to return - this is a limit on the number of results returned in the report. Click and increase this number as required.
There are 5 categories to extract your data from:
Dates
Rate Plan
Reservation
Reservation attributes
Profile details
Profile attributes
Click the + next to each category to view all of the data points that can be extracted, and tick the box(es) to select the items you require. You can select items from a combination of the 5 categories to build your query report.
📌Note: A 'like' search option can be left blank to return all information, or you can type in partial information or a complete word as required.
Once you have selected all of the data to be extracted from the system, click Execute.
At the top of the screen you will see the number of records returned by the report.
🤓Tip: If this number matches the Max records to return number, then increase the max records number and run the the report again by clicking Execute.
Click View to see the report at the bottom of the screen, or click v View and select your required report format.
Once your criteria has been set, you can use the buttons at the top of the screen to:
New - refreshes the screen and starts a new query report.
Load - click to view your saved design query reports.
Delete - to delete a saved design query report.
Save - to save a query once you have created it.
Order by - allows you to order the results by reservation or profile
Report output
The report output is based on the tick boxes selected when designing the query report.
Additional output options:
Click the View button to select your required report format. When exported to CSV no additional fields are available.
Troubleshooting
Information missing when compared to other reports: the design query report will only return data for guest profiles that have been "linked" within the reservation.
