Guestline Rezlynx: New Actual and Forecast Report

Overview of the report

The New Actual and Forecast Insights Report makes it easier to analyse the performance of your property and gain insights into the performance of your entire group, providing a holistic view of your operations. You can easily compare the current data against last year's data, both in terms of lead time adjusted figures and total numbers, enabling you to identify trends and measure progress. Customise your viewing experience by toggling the graphical view on or off, based on your preference and analytical needs. The report can be configured to highlight specific dates where the difference in performance compared to the last year exceeds 20%, enabling you to quickly identify notable variations. The report offers totals for any selected period, but also combined values for the week or month. In this new Insights report, you can browse back for 3 years of past dates and all future reservations. This report also offers a dive deeper into the data to discover exactly how a metric was calculated, right down to the raw data, making it possible to go from a high-level overview to a detailed understanding.


Enable or Disable New Actual and Forecast Report

New customers

This report has been enabled for all new sites and can be disabled on request.

Existing Customers

This report can be enabled or disabled for existing customers as they transition from the old version to the new.

To enable the new Actual & Forecast Report, follow the steps below:

  1. Navigate to Rezlynx, Reports, Revenue, and select Actual and Forecast.

  2. If you are viewing the old Actual and Forecast report, click Try New Version.

To disable the new Actual & Forecast Report, follow the steps below:

  1. Navigate to Rezlynx, Reports, Revenue, and select Actual and Forecast.

  2. Scroll to the bottom of the reporting screen, click Go Back To Using The Old Version.

The old style Actual and Forecast report will then be accessible.


How to run the report

⚠️Important: You can only access this report if you have access permissions for the actual and forecast report within Rezlynx, if you do not, please contact your Admin user.

To run the report, follow the steps below:

  1. Navigate to Rezlynx, Reports, and then select Actual & Forecast.

  2. When the report is opened data will start to download and auto-populates into the report.

    ⚠️Important: All sites have the ability to store the data, this is recommended to speed up the download on subsequent visits. As the data contains sensitive information, avoid downloading it if you're using a shared device. Once set to download to the device, this can be revoked and the data removed at any time. For larger sites, you may be prompted to store the data on your device. This is necessary as the amount of data is too much to be stored in the browser. Once set to download to the device, this can be revoked and the data removed at any time.

  3. To modify the report, select from the onscreen options including:

    • Date - click on the calendar button in the top left of the screen to select specific dates, or choose one of the pre-set filters.

    • Compare with... - select from the drop-down menu to compare Same Day Last Year, Same Date Last Year or Custom value.

    • Sync - to gain the most up-to-date information for the report.

    • Export - download the report, with options including:

      • Export with a choice of delimiters and separator styles - choose between comma delimiter and dot for the decimal place, or semicolon delimiter and a comma for the decimal place.

      • Export to match the old CSV format of the Actual & Forecast report. The APR and Rate Plan Revenue columns are not currently supported in the CSV format but remain in place with 0 values.

      • New format which offers the export with features such as: Include Totals row or split by property.

    • Property - select specific properties within your group if applicable. Data for multiple properties can be compared.

    • Current View - choose from the System Configured reports, or select from Custom Configured reports.

    • Customise - select the icon in the top right of the screen to create Custom Configured reports using various Reservation, Revenue and Date Range filters, including how to switch between Net and Gross values. Any customised views are saved per user, rather than per property.

    • Show charts - select or deselect chart(s) from the drop-down menu. The charts are displayed at the top of the report above the data table.

    📌Note: To see the chart, choose a date range of less than 4 months

    • Show columns - select the required data table columns, including new options for Waitlist, Multi, Blocks etc.

    • Group by - group the data to show one line within the data table per day, week or month.

    📌Note: For longer time ranges, the data will be automatically grouped by Month.

  4. Once you have set your report as required, the report auto-updates and the data is displayed on screen.


Report output

In the report output on screen, click on the individual figures to see a snapshot of the values, with a graph showing the Comparing With option selected on the report. Any differences in the exact % value is also shown in this data box. Raw data can be viewed by selecting the Magnifying Glass icon on the left of the data table.

You can also further review the chart data, by selecting a specific date or dates within the graph to isolate the data. For example, in the image below, you could click on every Saturday on the chart to compare figures for each Saturday within a 4-month period.

Report terminology guide

This Year - this data shows the actual and forecast for this year.

Same Date Last Year / This Time Last Year - this shows how last year looked the same number of days before the stay date. "Last year" is a forecast of the same day of the week -52 weeks ago.

Total Last Year - this data shows actual data by looking back 52 weeks ago, rather than at the same date last year. Enabling comparisons to the same weekday exactly 52 weeks ago, rather than the same date last year.

Same Day Last Year - this shows how last year looked the same number of days before the stay date. Same day last year is a forecast of the same date last year.

KPIs - Key Performance Indicators.

ADR - Average Daily Rate.

RevPar - Revenue per available room. This is calculated by total accommodation revenue divided by total rooms.

TRevPar - Total revenue (all revenue not just accommodation) divided by total room stock.

DFS/ROOS - Deduct from Stock and Rooms Out Of Service. DFS rooms are not included in the occupancy calculations, whereas ROOS are.

Performance indicators:

  • Down Arrow - lower than last year.

  • Up Arrow - higher than last year.

  • No Arrow - small or no change.


Troubleshooting

  • Multi properties: Where multiple sites are selected, the data can be displayed per site within the tables on screen by clicking the arrow to expand the section. The data can also be exported to show a split by/per property.

  • Improve the download time: You can improve the data download time by allowing the data to be saved to your device. Doing so will mean that you will only need to download the latest data each time you enter the report. Click the button in the bottom right of the screen to open the download manager.

  • Net: To show either Net or Gross values on the report, click on Custom Configuration at the top of the screen and select the required Net or Gross filter.

  • Totals row: If you want to see the totals row at the bottom of the report, select the Export button in the top right and then tick Include totals row to see this on the report on screen and any exports you choose to do.

  • Last Year: The way the data is compared to the previous year is selected at the top of the screen. Same Day: data calculates periods by looking back 52 weeks instead of a full calendar year so that comparisons can be made to same weekdays, instead of same dates. Same Date: data calculates periods by looking back at the exact date a full calendar year, so the same dates can be compared.

  • Differences between the old Actual and Forecast Report and the new report: The old and new reports should be broadly comparable, but there can be minor discrepancies due to a difference in how the data is used. For more detail on a value, click the value to bring up the detail and then click the magnifying glass icon. For large discrepancies or where you suspect incorrect data, please file a bug report using the button provided.

  • Export in old CSV format: Select Export and select the option to match for export format to the old CSV format or CSV in Excel format as in the old Actual and Forecast report.

  • Switch back to the old report: You can do this by following the Disable New Actual and Forecast steps at the start of this article.

  • Bedroom ID or name changes: These will cause an overestimation of room stock by the new report and requires a manual step by us to fix. If you believe this step has been missed, please leave a bug report or contact support. Please ensure that any new room ID or room types are set up via Guestline.

  • Old versions of Chrome or Edge: This is caused by a bug within old chrome or edge browsers, an error message will show on screen to warn about this. To resolve this, update the browser to the latest version.

  • "Saved data has been removed from the device": This is shown when there is not enough room on the hard drive to save this data. To resolve this, we recommend freeing up data on your hard drive with assistance from your IT team on-site.

  • Feedback: Provide feedback directly to the team using the Feedback icon on the New reporting screen.
