Guestline Rezlynx: Standard C&B - Create a function

You can create a Standard C&B function reservation or booking via the Diary or via Search/Create/Edit.

Within Standard Conference & Banqueting (C&B), you can create a new reservation or function from the Search/Create/Edit or from within the Diary.


Create a function through Search/Create/Edit

To create a function via Search/Create/Edit, follow the steps below:

  1. Navigate to Rezlynx, Conference & Banqueting, and Search/Create/Edit.

  2. Click Create Function Reservation.

🤓Tip: The default start and end times for functions, and available rate plans showing are all set within System, System, Ini settings, Function Reservations. These default start and end times are only seen when creating via Search/Create/Edit.


Create a function via the Diary

To create a function via the Diary, follow the steps below:

  1. Navigate to Rezlynx, Conference & Banqueting, and Diary.

  2. Enter the date of the Function and click Refresh.

  3. Select the room and date of the function booking needed.

  4. Click Create New Reservation.


Create new function

To create a new function reservation, follow the steps below:

  1. Link a profile to the Contact Information.

  2. Link a Company/Agent/Source if required.

  3. Enter a Booking Description, which is displayed within the Diary view as the event name.

  4. Enter a Reader Board if required.

  5. In the Room and Rate section, click Options, then Change.

    • Enter the Start date and Time followed by the End Date and Time.

    📌Note: If this is an event until midnight or early hours you might like to select the end time as 23:55 to avoid this showing in the diary for the following day.

    • Enter the Number of Delegates.

    • Select the Specific Rate Plan.

  6. Click Rate Plan Search and select the Rate Plan.

    🤓Tip: Once selected, the price can be amended by selecting Options, then Override to enter a different value.

  7. Update the Status Market Segment Media Source Code Function Type and Room Set Up.

  8. Click on the Guarantee Tab and enter the Guarantee Type.

  9. Assign Ledger account and PO Ref if required.

  10. Use your Payment Gateway to perform an Account Check or Take a Payment if required.

  11. Navigate to your Notes tab and enter any Function Notes which build into your Function Sheets.

  12. Navigate to your Upsells tab to add any additional products not included in the Rate Plan.

  13. Save your Function.

  14. Select Templates if you wish to send a Template Letter to the Contact.
