This article covers the types of tables available, how to create a flex table and how to add flex table exceptions to flex the rates.
Types of Tables
There are two types of Tables:
Rate Table: is a static or set rate that has a set price per night, and uses the same price per night year on year. Rate tables can provide price variations by setting a different price per night for a set day(s) of the week, or room type, but this is a static price per night and so cannot be changed for specific dates. These tables are mainly used for special offers such as Christmas or New Years as part of a seasonal rate plan.
Flex Table: is a dynamic or flexible table that allows the price per night to be amended for any day(s) or date(s), and can be amended for any day(s) or date(s) up to 3 years into the future. These tables are mainly used for rate plans that are to be used for a long period, and where sites may wish to flex their rates over time.
It is important, when building a new rate plan to select the rate table that best suits your needs.
Create a Flex Table
To create a flex table, follow the steps below:
Navigate to Rezlynx to System, Rates, and Flex Tables.
Click Create New.
Enter the Flex Table Code which can only be 12 characters long including letters, numbers, and use underscores instead of spaces. This must be unique and cannot be changed once saved.
Enter a Group to determine where this rate will be stored within the left-hand menu. This can only be letters, numbers, or underscores. This can be changed later.
Enter a Description for internal use only and this can be changed later.
Click Save.
From the left-hand menu, select your Flex Table. Within the Base Rate tab, enter the Value per night by room type and the day of the week. If the prices are different for different room types, you can enter this here in the grid.
⚠️ Important: The base rate will automatically fill those rates into all months within the next 3 years, unless exceptions as added to flex the rates as discussed below. If you wish to change your Base Rate at any time, please note that any rate that does not have an Exception already set will update from the date you make the change onwards.
🤓 Tip: Use Set All to set either the whole grid, the room type, or the day of the week.
Click save.
Add exceptions to flex the rates
The base rate set when the Flex Table was created will automatically fill those rates into all months within the next 3 years and beyond. If you wish to change your Base Rate at any time, please note that any rate that does not have an Exception already set will update from the date you make the change onwards.
To add exceptions ensure you have navigated to Rezlynx to System, Rates, and Flex Tables. From the left-hand menu, select the Flex Table you wish to add the exceptions to. Click on the Exceptions tab. Use the drop-down menu on the right to select the month.
There are 3 ways to add exceptions:
Overtype can be used to add exceptions. To use this feature:
Within the Exceptions tab, overtype the the exception price on the relevant room type(s) and date(s).
Click Save once completed.
Pattern Fill can be used to add exceptions over a longer period within a pattern. To use this feature:
Within the Exceptions tab, select Pattern Fill.
Select the start and end dates you want to add the exceptions to - upto 3 months at a time.
Enter the exception price on the relevant room type(s), or days, as required.
Click Apply.
Import can be used to add exceptions to the flex table. To use this feature:
Within the Exceptions tab, choose the month you wish to export.
Select Export at the bottom of the screen, and the current exceptions for that month are exported to your device.
Open the CSV file and amend the file. Note: Rate exceptions can only be set up to 36 months in advance.
The file must be saved as a .CSV file.
Select import at the bottom of the screen, and select your amended file. The uploaded information will add to the exceptions tab and show in orange.
Added exceptions show in orange on the Exceptions tab.
Additional Features
Export is used to down load the rate exceptions as a CSV file. To use this feature:
Within the Exceptions tab, choose the month you wish to export.
Select Export at the bottom of the screen, and the current exceptions for that month are exported to your device.
