Bedrooms can either be:
Created within an event
Created outside of the event and linked to the event
Within Advanced C&B Ini Settings select if the property will link Groups or Multi-room. From that point on you can use both in the PMS but only link the selected option to an event. If you have enabled one of these and change this afterwards, all bedrooms that were previously linked, will unlink from all events.
When bedrooms are linked to an event the Bedrooms tab changes colour. The colour is set within the Advanced C&B Ini Settings.
How to create bedrooms within an event
To create new bedrooms within an event, follow the steps below:
⚠️ Important: Prior to adding bedrooms to an event, ensure you have created an event and saved it.
Within the event, select the Bedrooms tab.
Select New to create a new group or multi-room based on the system settings.
After the bedrooms are created and saved, they will attach to the event's bedrooms tab, which will change colour based on system settings.
⚠️ Important: It is only possible to attach on set of bedrooms to an event and the same set cannot be added to more than one event at the same time.
How to link bedrooms to an event
To link bedrooms to an event, follow the steps below:
⚠️ Important: Prior to adding bedrooms to an event, ensure you have created an event and saved it.
Within the event, select the Bedrooms tab.
Select Link and use the search feature to find the group or multi-room.
Select the Group or multi-room reference to link the bedrooms to the event.
⚠️ Important: It is only possible to attach on set of bedrooms to an event and the same set cannot be added to more than one event at the same time.
After the bedrooms have been linked, they will attach to the event's bedrooms tab, which will change colour based on system settings.
After linking the bedrooms
Linking the rooms will not pull through the bedroom charges onto the event booking. To do this you must add a charge routing on a multi-room or a group.
Should the charges for all bedrooms need to be seen on the Pro-Forma or Event Contracts, then Incl Bedrooms will need to be selected on the main tab of the Event. This will also populate the revenue for Bedroom and Combined on the same page.
If you need to unlink the bedrooms for any reason, within the bedroom tab select unlink.
When bedrooms are linked, the Rooming List on Template Editor can be used to add any room information as a template to the print option in an event. The bedrooms can also be displayed on contracts and function sheets.
