Guestline Advanced C&B: Add delegates to a ticketed event

You can add delegates to a ticketed event (which has already been created with delegate-specific menus attached for pricing), in a few simple steps.

Before adding delegates, ensure you have created the ticketed event correctly by adding a menu for pricing, with delegate specific selected.


Manually add delegates

To add the delegates to a ticketed event manually, follow the steps below:

  1. Within Advanced C&B navigate to your ticketed event.

  2. Select the Delegate tab within the event.

  3. At the top of the screen, select the function from the drop-down menu. To the right of this, you can see the event room, the total tickets sold, and the total number of tickets available.

    🤓Tip: Using the function drop-down, it is possible to change between different functions on the same event. For example, this could be applied to a Christmas party in multiple rooms, or different sittings on the same day.

  4. Click New and Link the lead bookers profile and company profile if applicable.

  5. Enter the Number of Guests and assign a table number and time if needed or known. This can be amended later.

  6. A deposit due can be added for the whole party, not per person.

  7. Click Save.

  8. On the right of the screen, click Add Menu to add a configured delegate menu or additional menus such as drink packages. A delegate menu may already be listed, if configured in the event to Auto-Add to delegates.

    ⚠️Important: Once a menu is added, you can select Options, then Notes to add dietary requirements. You can also click the + symbol on the menu to amend the quantity of each dish required for the table.

  9. You can review and utilise the other delegate details tabs as required, including:

    • Guarantee tab can be used to: add a master account; set up charge routing if required; take payment using the payment gateway; or create a paylink.

    • Bedroom tab is used to create and link a multi-room or group.

    • Notes tab is where you would add notes relating to the table as a whole (rather than individual dietary requirements) - for example, notes such as "table near dancefloor".

  10. Click Deposits, to add a deposit if required and print the receipt.

  11. Click Print at the bottom of the screen, then select Confirmations. Select the template to be sent (these are configured within Template Editor).

  12. Click Save.

  13. Click Save on the event, before exiting it.


Import Delegate List

To add delegates to an event using Import Delegate List, follow the steps below:

⚠️Important: Prior to completing the steps below, please ensure you have created a CSV file (rather than excel) with all your delegate information - you can download a sample delegate list to help with the specific formatting required. If you do not have information for every field please leave the field as it is shown in the sample delegate list.

  1. Within Advanced C&B navigate to your ticketed event.

  2. Select the Delegate tab within the event.

  3. At the top of the screen, select Import Delegate List.

  4. Choose file to be imported.

    ⚠️Important: Only CSV files can be imported here.

  5. Once successfully added, the imported delegates will show on the delegate tab.

  6. Click Save before exiting the event.
