Guestline PMS: Schedule and email PMS reports

Schedule PMS reports to be sent automatically to one or more email recipients at a specified time each day.

You can schedule PMS reports to be sent automatically to one or more email recipients in a few simple steps.

The updated PMS reporting experience includes a refreshed design using the Evo design system and the ability to schedule reports for automatic delivery. This helps you share key operational and financial information without manually exporting reports each day.

⚠️Important: Only daily schedules are currently supported. Weekly or monthly reports cannot currently be scheduled.


Supported reports

Scheduled reporting is currently available for:

  • Guest List.

  • Room Balances.

  • Deposits Held.

  • House Count.

  • No Shows.

  • New A&F.

  • Key Performance.

  • Booking Source.

📌 Note: The reports have undergone an Evo design upgrade. All updated reports include a Switch to Classic option. This option is temporarily available to give you the option to change back to the old version view.


Schedule a report

Only daily schedules are currently supported. Weekly or monthly reports cannot currently be scheduled. Each schedule can send a report once per day. If you want to send the same report at different times, create additional schedules using different schedule names.

To schedule a report, follow the steps below:

  1. Open one of the supported reports listed above.

  2. Configure the report filters you want to use using the report settings and dropdown. Check that the report results display the information you want to send.

    🤓 Tip: Use the bookmark icon in the top right to view and load your pre-saved filters.

  3. Click View/Export, then click:

    • Email now: to add an outgoing email and subject and send this immediately, as a one-off email.

    • Schedule email: the scheduling side panel opens, as shown in the image below:

  4. Click + New schedule. The current report filters are automatically included in the schedule.

  5. Enter the schedule details as detailed below:

    • Schedule name: Use a descriptive name that clearly identifies the report. Include details such as the report type, property, or filter settings where appropriate.

    • Schedule: Daily is currently the only available scheduling option.

    • Recipients: There is no limit to the number of email addresses you can add. Recipients do not need to be registered Guestline users. You can send reports to external stakeholders such as managers, finance teams, executives, or owners.

  6. Click Create Schedule to save the schedule settings. The schedule appears in the list of scheduled reports for that report, as shown below:

    🤓Tip: Click the expand arrow beside a schedule to view the filters included in that report.


Receiving a scheduled report

Emails are sent from Guestline Reporting <[email protected]>.

Here is an example email:

The text within the email message is not currently configurable or editable.

Reports are delivered as PDF attachments.

The scheduled time is when the report joins the email queue. Delivery may occur a few minutes after the selected time.


Edit a scheduled report

If you need to update the filters, recipients, or sending time for a scheduled report, you can edit the existing schedule in a few simple steps.

  1. Open the report associated with the schedule you want to update.

  2. Click View/Export.

  3. Click Schedule email.

  4. Click the expand arrow beside the schedule you want to edit.

  5. Update the required details:

    • Schedule name.

    • Report filters.

    • Sending time.

    • Recipients.

  6. Click Save to apply your changes.

    📌 Note: Any changes you make only apply to that specific schedule. If you have multiple schedules configured for the same report, you must update each schedule individually.


Delete a scheduled report

To delete the report, hover over the scheduled report to select the Bin icon next to the report, as shown below:

Then confirm your selection to delete the schedule.
