Guestline Rezlynx: Create and manage cancellation policies

You can create cancellation policies, add the cancellation policy to a rate plan and to a template, and manage cancellation policies in a few easy steps.

A place to manage your cancellation policies, allows you to create, update and delete your cancellation policies. These cancellation policies can then be assigned to a rate on your rate plan page.

Cancellation Policies are created to determine if a booking can be cancelled by the booker and if cancellation charges would apply.

If you have self-service online cancellations activated, this will allow the booker to cancel their own reservation - only applicable to bookings made direct or via DBM.

You can create cancellation policies, add the cancellation policy to a rate plan and to a template, in a few easy steps, as outlined below.

Create cancellation policies

To create a cancellation policy, follow the steps below:

  1. Navigate to Rezlynx, then from the System menu under Rates select Cancellation Policies.

  2. Click Create New Policy and complete the information as required:

    • Click Plus + ​​​​​​​to add more languages, please note that the system will not auto-translate; this would need to be completed by site.

    • Policy Name is mandatory and visible to guests and users.

    1. Policy Description is mandatory and is visible via the "manage my booking page" and also if the tag is added to the template editor.

    2. Penalty Code is selected from the drop-down menu.

    3. Penalty Applicable should only be selected if using Fixed or Percentage for the Penalty Code.

    4. Days Prior to Arrival is mandatory and will determine when your penalty starts being applied.

    5. Choose the Hour when the penalty starts being applied.

  3. Click Save.


Add a cancellation policy to a rate plan

To add a cancellation policy to a rate plan, follow the steps below:

  1. Navigate to Rezlynx, then from the System menu under Rates select Rate Plans.

  2. Select the rate plan you wish to add the cancellation policy to.

  3. Scroll down to the MISC box, then use the Cancellation Policy drop-down to select the correct policy.

📌 Note: This will auto-save once selected.


Add a cancellation policy to a template within template editor

To add a cancellation policy to a template within Template Editor, follow the steps below:

  1. Navigate to Rezlynx, then from the System menu select Template Editor.

  2. Select the template you wish to add the cancellation policy to.

  3. Click on the Body tab, then click within the text where you would like the tag to be placed.

  4. Scroll down the Tags menu on the right, then double-click on Cancellation Policy to add the tag to the template.

  5. Click on a blank space on the template, then click Save.

📌 Note: If you do not select a blank space somewhere else within the template, this will not save as expected.


Manage cancellation policies

Edit, update or amend

⚠️ Important: When updating a cancellation policy, changes apply to all rates assigned to use this policy, as detailed on the main cancellation policy screen.

To edit a cancellation policy, follow the steps below:

  1. Navigate to Rezlynx, then from the System menu under Rates select Cancellation Policies.

  2. Next to the cancellation policy you want to edit, click the pencil icon.

  3. Edit the policy as required, taking care to complete each box.

  4. Click Save.

Delete

⚠️ Important: If you delete a cancellation policy, any rate plans assigned to this policy will no longer have a cancellation option. The rate plans should be re-assigned to another cancellation policy as required.

To delete a cancellation policy, follow the steps below:

  1. Navigate to Rezlynx, then from the System menu under Rates select Cancellation Policies.

  2. Next to the cancellation policy you want to edit, click the arrow next to pencil icon.

  3. Select bin icon.

  4. Review the warning on screen, select Confirm.
