Close off periods is how you can put a function room out of service for a period from 15 minutes to months or years at a time as required. Once a room has been closed off it will show as a greyed-out area on the Advanced C&B Diary.
Create a close off period
To close off a period for a function room, follow the steps below:
Navigate to Advanced C&B, Configuration, Rooms, and then select the function room you wish to close off.
Select the Closed Off Periods tab, and click New.
Enter the Closed From date and time, Close To date and time, and enter a Reason for the closed off period.
Click Save.
Once saved it will show within the room's configuration and as a greyed-out area on the Advanced C&B Diary.
Edit or delete a close off period
This must be done within configuration and cannot be removed or edited within the Advanced C&B Diary.
To edit or delete a closed off period for a function room, follow the steps below:
Navigate to Advanced C&B, Configuration, Rooms, and then select the function room you wish to close off.
Select the Closed Off Periods tab.
Next to the required close off period, select the required action:
Edit then make the changes and select Save.
Delete and the close off period is deleted immediately.
Troubleshooting
How do i close off periods over a recurring schedule? You can either create a closed off period per date, or create a booking with a function that blocks off the time required for one day, then use the Copy Functions Feature to block off all the consecutive days. Try not to do more than 100 copies of the same function. This would of course track as a function room sold as per the room production report so the options should be carefully considered.
Is there a report to show closed function spaces? The Closed Function Spaces report shows all closed off rooms including the reasons. Access this report by navigating to Advanced C&B, Config Reports, Closed Function Space.
