Notes are found in different places within your Event. Effectively managing notes within an event is crucial for seamless communication and organisation. Here's a step-by-step guide to help you utilise the various notes fields available:
📌Note: All properties use the note fields for different purposes. The below details generally show you how they are used. Please check with management or experienced team members at your property to confirm how they are used at your site.
Events' Notes tab
Navigate to: Rezlynx, Advanced C&B, find and open your event, and then select Notes tab.
Here, you'll find several fields, including 'Event Notes' and 'Internal Notes' plus up to three additional fields depending on your property's configuration within Advanced C&B Ini Settings.
Event Notes: Use this field for general information such as timetables or specific details like bridal party names. Typically, 'Event Notes' are included in all function sheets and contracts, but this depends on your site's setup.
Internal Notes: This section is intended for information meant exclusively for your property's staff. Generally, 'Internal Notes' appear only on internal function sheets.
Configure Custom Notes (1-3): These fields can be tailored to your property's specific needs through the Advanced Conference and Banqueting Ini Settings. They might be included in various function sheets based on your configuration.
Events' Billing tab
Navigate to: Rezlynx, Advanced C&B, find and open your event, and then select Billing tab.
Within the 'Billing' tab, there's an 'Additional Notes' box. This is useful for billing instructions or terms and conditions and can be incorporated into contracts and function sheets if required.
Function Notes
Navigate to: Rezlynx, Advanced C&B, find and open your event and scroll down to Functions. Next to the function click Edit, then select the Function Notes tab.
An Advanced C&B event will consist of one or more functions. Each function within an event has a 'Function Notes' tab. Use this to detail setup information pertinent to that particular segment of the event, such as specifics related to the wedding breakfast.
Function F&B Menu Notes
Navigate to: Rezlynx, Advanced C&B, find and open your event and scroll down to Functions. Next to the function click Edit, then scroll down to Resources and select Notes.
Within the function locate the F&B Items or Menus. Use the 'Notes' section to enter details like dietary requirements, ensuring the kitchen or bar teams are informed.
Miscellaneous Resource Notes
Navigate to: Rezlynx, Advanced C&B, find and open your event and scroll down to Functions. Next to the function click Edit, then scroll down to Resources and select Notes.
Also found within the function, miscellaneous resources have a 'Notes' section. Here, you can provide setup information or specific requirements for items. Some properties use miscellaneous resources as headers with detailed notes beneath them. For Example - Misc Resource called 'Supplier Information' and then the notes would be the details, which may sit below it.
Delegate Notes
Navigate to: Rezlynx, Advanced C&B, find and open your event and select the Delegates tab. Next to the required delegate click Options, then select the Notes tab.
Within the 'Delegates' tab, each delegate has an 'Options and Edit' feature leading to 'Delegate Notes'. This is ideal for noting dietary information for the host on the day or general information like seating preferences or VIP status. These notes will appear on the Delegate Details Report within the 'Delegates' tab.
By systematically utilising these notes fields, you ensure that all event-related information is organised and accessible, facilitating smooth operations and exceptional service delivery.
