Guestline EPoS: Refund or reopen a closed order

You can refund or reopen specific closed orders in Guestline EPoS in a few simple steps.

Overview

This functionality allows Guestline EPoS users to select specific orders to Refund or Reopen. You will only be able to use these functions on orders where the payment was taken within EPoS.


Payment or bill closure methods that do not support this functionality are:

  • Rezlynx PMS Postings - Room Transfers, etc

  • BlueRunner Loyalty Points Redemptions

  • Premiere Spa Voucher Payment

  • Premiere Spa Account Transfer

  • Windcave PKA Payment Express

This will be available for all Guestline EPOS customers using the latest version of the Guestline EPOS software.


Benefits

This functionality will save you time when:

  • Refunding the whole of a closed order

  • Adjusting payment on a bill

  • Adjusting payment on a closed bill

  • Refunding a GuestPay chip and PIN payment

As you need to select the original order to refund it, this method is more accurate than manually carrying out refunds.


Full refund on a closed order

📌 Note: The steps below will complete a full refund. To complete a partial refund you will need to reopen a closed order.

To complete a full refund on a closed order, follow the steps below:

  1. Log into Guestline EPoS.

  2. Navigate to Reprint Receipt, located towards the bottom right corner of the main screen.

  3. Use the search filters to locate the order to be refunded.

  4. Select View Receipt button to review the order and ensure this is the correct order to refund.

  5. Select the order you need to refund.

  6. Click Full Refund.

  7. Enter your password, or use your normal login method, when prompted.

  8. Click Yes to confirm the refund.

Once confirmed, the system will provide confirmation that the refund has been completed and display the order number for the refund.

A receipt will print out on the terminal's default receipt printer.

The list of closed orders will refresh and you will see the refunded order at the top of the list.


Reopen a closed order

📌 Note: The steps below will allow an order to be reopened to add or amend items, or complete a full or partial refund. To complete a full refund on a closed order see the steps above.

To reopen a closed order, follow the steps below:

  1. Log in to Guestline EPoS.

  2. Navigate to Reprint Receipt, located towards the bottom right corner of the main screen.

  3. Use the search filters to locate the order to be reopened.

  4. Select View Receipt button to review the order and ensure this is the correct order to reopen.

  5. Select the order you need to reopen.

  6. Click Reopen order.

  7. Enter your password, or use your normal login method, when prompted.

  8. Click Yes to confirm your action.

  9. The order is reopenned and show all items and payments, so that you can:

    • Adjust order items by selecting the item and editing as required.

      ⚠️ Important: If the order contains items that could be sent to a remote ordering printer, consider adding messages to the items so they are not prepared by the kitchen.

    • Refund a payment - by selecting Refund Amount. Select the payment, and then choose a Full or Partial refund for a specific value.

  10. Once the Guestline EPoS balance is at zero, press Finish Payment. The order will close successfully.
