Guestline Rezlynx: Create a restaurant booking

ResDiary integrates with Rezlynx, allowing reservations to be created directly in Rezlynx, generating reports, and adding booking details to guest emails when required. It also lets you make restaurant bookings for guests within the system as needed too.

ResDiary can be integrated into Rezlynx.

Once your Resdiary integration has been completed, an additional tab is seen within Rezlynx reservations to allow the creation of ResDiary bookings, as well as be able to cancel existing reservations, or link reservations that were created in Resdiary.

The information linked within the Rezlynx reservations can also be shown within the Guest List report, and can be added to email templates for guests.


Create a ResDiary Reservation

To create a new ResDiary reservation, follow the steps below:

  1. Within your Reservation screen, select the ResDiary tab.

  2. Select Create on the right-hand side.

  3. Complete the following fields as required:

    • Restaurant: select from the drop-down menu if you have more than one food outlet.

    • Visit date: select from the drop-down menu a date within the guests stay

    • Area: select from the drop-down if applicable for your property.

    • Covers: select how many guests will be dining

    • Contact: This information is pulled from the linked profile(s) to the reservation.

    • Special Requests: Free-type any additional information such as dietary requirements or seating preferences or select from custom notes.

      • Add custom notes: Select custom notes button and if configured you can select text from a note box within the reservation. To configure this: navigating to System, System, Ini settings, Interfaces and within the Special Requests Custom Notes section select the notes box as required.

    • Preferred time: Press Refresh Times to populate the drop-down menu, then select the required dining time.

    • Receive emails and SMS: Opt into marketing emails or SMS via ResDiary if required.

  4. Once all information is completed, select Book Tables.

  5. Once booked, a summary is shown on screen. Depending on the configuration of your system, you may also see:

    • Available promotions - you will be able to select them from the drop down menu.

    • Booking conditions - will be highlighted to enable the user to notify the diner or any special conditions, for example that a table needs to be given back at a certain time.

  6. Once the summary screen has been reviewed, tick the box and click Book to complete the reservation. This will add an entry onto the Resdiary Tab, and also create the reservation in Resdiary.


Link an exisiting booking

To link a booking made directly in ResDiary into the Rezlynx reservation, follow the steps below:

  1. Note the ResDiary reference number for the booking.

  2. Within Rezlynx navigate to the reservation, and select the ResDiary tab.

  3. Select Link and enter the ResDiary reference number, then select Link.

  4. Confirm the booking and save.


Pop-up reminder to book a table

A pop-up message can be activated within the system, to remind users to offer a ResDiary booking.

This can be activated, or deactivated, by navigating to System, System, Ini Settings, Reservations, Other, and either the box "Remind to Create Table Reservation" to activate, or untick to deactivate. This will affect all users at the property.


Guest List report

ResDiary reservations are viewable in the ResDiary planner and reports, with linked bookings also visible in the Rezlynx Guest List report.

To use the Guest List to review your ResDiary linked bookings, follow the steps below:

  1. Navigate within Rezlynx to Reports, Front of House, and Guest List.

  2. Select the List Type you require, these include:

    1. Arrivals

    2. Residents

    3. Departures

    4. Created

    5. Products

  3. Set the report parameters as you require. Within the INCLUDE box, drop-down the Reservation items and select ResDiary and ResDiary Special Requests. Then on the right, under Show Rates, select Detailed view.

  4. Once the report is set as required, click View and select CSV. The report output will show a specific column for any ResDiary bookings and any special requests made by the booker.

⚠️Important: Only ResDiary reservations created within the Rezlynx reservation, or linked to it will show in this report.


Add ResDiary booking details to templates

You can add the information about a ResDiary booking linked within a Rezlynx reservation to templates.

To add ResDiary tags within Template Editor, follow the steps below:

  1. Navigate within Rezlynx to System, System and Template Editor.

  2. Select your email template from the dorp-down in the top left.

  3. Select the Body of the template. The tags menu on the right of the screen, shows all available tags.

  4. Drag the tags from the tags menu, into the body of the template as required.

    📌Note: Using the Start and End tags are important to ensure all bookings for the guest show on the template.

  5. Once all tags have been added as required, select Save Template.


Troubleshooting

  • ResDiary tab is blank: you need to save the reservation before you can add a ResDiary reservation.

  • "Title" as Mandatory fields: The mandatory fields Title cannot be changed to non-mandatory by Guestline.

  • The required dining time is not listed: Please check your ResDiary to check for any reservations blocking the required time, any closed periods, or promotions that may be stopping specific times being selected.

  • Reservation showing in Rezlynx but not Resdiary: Please ensure that the booking was completed. Please refresh the ResDiary planner and review.

  • Columns do not show within the Guest List: Please make sure you are selecting Detailed, and selecting to view as a CSV file to view these extra columns within the report.

  • Template tags I want are not listed: ResDiary tags are only available for the Body section of the template and are predefined.
