Scheduled Payments allows you to automatically collect payments from guests before their arrival date. Payments can also be scheduled for bookings made via the DBM, find out more here. Only one scheduled payment is permitted per booking. Currently available on Bedroom reservations only.
Requirements
GuestPay must be enabled for automated payment processing.
Scheduled payments are currently available only for bedroom reservations.
Only one scheduled payment per booking is permitted.
Create a Scheduled Payment
To schedule a payment, follow the steps below:
Navigate to the required bedroom reservation in Guestline PMS.
Select the Guarantee tab.
Scroll down to the Payment Gateway.
Next to the payment token, select Scheduled Payment. The button is greyed out if a payment has already been scheduled or the transaction is not valid for scheduled payments.
Enter the:
Date and Time: Defaults to the day prior to arrival at 14:00 but can be changed.
Amount: Defaults to the booking balance but can be changed to any value.
Click Save.
Confirmation is shown on screen. Once scheduled, the Scheduled Payments panel will display:
Date and Time.
Amount.
Card details.
Status information.
Actions that can be completed.
Edit or delete scheduled payments in Rezlynx PMS
Users can edit or cancel the scheduled payment at any time before processing.
To edit or cancel a Scheduled Payment, follow the steps below:
Navigate to your required bedroom reservation.
Select the Guarantee tab.
Scroll down to the Scheduled Payments panel.
To the right of the scheduled payment, select either:
Edit: To change the date, time, or amount, then save your changes.
Cancel: Confirm cancellation on screen.
⚠️Important: This action cannot be undone. A new token will be required to set up another scheduled payment.
How schedule payments work
Once the Scheduled Date/Time arrives, the system will automatically attempt to process the transaction.
If successful:
The scheduled payment is marked as complete.
A deposit is added to the booking.
The transaction appears in the Payment Gateway.
If unsuccessful:
A Payment Failure Task is generated for follow-up.
Important behaviours of this feature
Booking date changes: If you change a booking's arrival date, the scheduled payment date will not automatically update. You must manually edit or cancel the scheduled payment through the guarantee page.
Booking cancellations: When you cancel a booking, the associated scheduled payment is automatically cancelled.
Payment processing: Scheduled payments use account check and AUTH transactions only. Child transactions, digital wallets (Apple Pay and Google Pay), and alternative payment methods are not available for scheduled payments.
Option not available: Only one scheduled payment is permitted per booking. If a payment has already been scheduled, the option will not display.
Failed payment: Failed scheduled payments are logged in the tasks system using the same process as VCC failures, ensuring users can take appropriate action. This can happen where cards do not have sufficient funds etc.
