Event Sheets enables you to print the function and event sheets, as well as emailing PDF function and event sheets to internal and external email addresses from one screen in a few clicks.
To print or email Event Sheets, follow the steps below:
Navigate to Advanced C&B, Events and Event Sheets.
Within the Event Sheets Parameters, choose the date range required:
Event Created On - will show you the events created on that specific date.
Event Start Date Between - will show you any events that start between a certain date range.
⚠️ Important: If an event spans multiple days, it will not appear in the search results unless the entire date range of the event falls within the selected search dates. For instance, if an event begins on a Tuesday and lasts three days, it will not show up in a search starting on Wednesday.
Functions with Start Date Between - will show you the individual functions during that date range.
Additional Event Sheets Parameters can be set, including:
Function Room - select a specific function room to look at or leave blank to show them all.
Status - select the status you want to print. Remember to exclude enquiries, lost or cancelled.
Internal Addresses - select the addresses you want to send the emails to internally from this list. To add to this list, you can create new Internal Addresses in Configuration.
Print Event Sheets by Day - select to ensure that each day's schedule is printed on a separate page. For example, a three-day conference will be printed by date, with each day starting on a new page, rather than as a continuous list sorted by date.
Over type the Results Per Page value to see more search results, and select Search.
The results are displayed on screen. To print/email/email internally the event sheets you will need to select the Event Sheets, tick Email Print options as required, and select Execute.
Troubleshooting
Date at the top of the Event Sheet: At the top of the Event Sheet you may see the event date. If the event spans multiple days, the whole event date will still be displayed, regardless of the selected function days for printing. Our Support Team can remove the event date at the top of the Event Sheets for you if required within Custom Reports, but please be aware this would affect all Event Sheets not just those spanning various dates.
